Position Summary

We are seeking a highly organized and analytical Accounts Payable Coordinator to join our accounting team. The role is responsible for managing all aspects of the accounts payable process, ensuring accurate and timely payment of invoices and expenses. The ideal candidate has experience in a manufacturing environment and is knowledgeable in the best practices related to accounts payable.

 

  • Process all invoices, check requests, and expense reports accurately and in a timely manner
  • Match invoices to purchase orders and verify receipt of goods/services ensuring proper coding and approval for payments
  • Verify all expense details, review supporting documentation, and ensure timely reimbursement to employees
  • Process weekly check runs preparing timely payments to vendors, including checks, ACH transfers, and wire transfers
  • Review invoices for proper Sales and Used tax while keeping a record of all transactions
  • Maintain accurate and up-to-date records of accounts payable transactions, invoices, payments, and vendor information including W-9s and certificates of insurance
  • Prepare and file annual 1099 tax forms
  • Reconcile accounts payable related to general ledger accounts
  • Verify information to track tariffs, freight, and third-party installations
  • Assist in month-end close process by providing accurate and timely financial data to the accounting team
  • Other duties as required

 

Knowledge & Skills

  • Strong understanding of 3-way matching, freight invoicing, and tax compliance
  • Excellent communication skills, both verbal and written
  • High attention to detail with the ability to manage multiple priorities and deadlines
  • Strong analytical skills

 

Qualifications

  • Minimum 3-5 years of accounting experience required, or bachelor’s degree in accounting, finance, or a related field preferred
  • 3+ years of accounts payable experience or similar role, preferably in a manufacturing setting
  • Proficiency in accounting software, and Microsoft Office Suite. Experience with ERP systems such as Business Central preferred
  • Ability to work independently and collaborate with cross-functional teams
  • Knowledge of relevant laws, regulations, and best practices related to accounts payable
