A Brief Summary of This Position:

This position is accountable for scheduling and coordinating Facilities Maintenance for the Facility Shared Services Division of the Valley Site. This position will also assist the Facility Project/Administrative Support Manager and Machine Design/Facilities Engineer. Incumbent is responsible for all incoming calls and email requests for administrative/plant breakdowns, emergency needs, and general request for routine support work for entire Valley site facility. The person in this position is responsible for prioritizing and scheduling incoming work based on what is the most critical issue at hand and dispatching the appropriate maintenance personnel or contractor in a timely manner, and then follows up with the end customer to ensure satisfactory service was given.    This person assists the Facility Project/Administrative Manager with various projects as assigned. Incumbent, as well, is responsible for assisting Machine Design/Facilities Supervisor by tracking incoming purchasing functions for various projects as well as lean enterprise support and miscellaneous clerical duties.  Incumbent also handles all supporting data input for following duties: submits requisitions, obtains purchase orders, process invoices, contacts required vendors, monthly corporate update, monthly project reports, weekly facilities deliverables, shared services quarter update presentations, tracking of hazard reports, composition of capital projects, etc. At the request of the Facility Manager, incumbent will help out with many other issues and tasks as necessary.

Essential Functions:

  • Schedule and coordinate Facilities Maintenance for the Shared Services Division on the Valley campus
  • Respond to all incoming calls and email requests regarding administrative/plant breakdowns, emergency needs, and general requests for routine support work for the entire Valley facility
  • Prioritize and schedule incoming work and dispatch appropriate maintenance personnel or contractors in a timely manner
  • Follow up with end customers after the completion of projects to ensure satisfactory service was given
  • Provide additional support as needed for the facilities central receiving department by receiving incoming packages for various departments across the plant
  • Perform a variety of administrative duties such as submitting requisitions, obtaining purchase orders, processing invoices, contacting vendors, and preparing reports and presentations as needed
  • Inform appropriate personnel on issues necessary to keep production areas and administrative areas operating effectively
  • Communicate details of required work or service to vendors
  • This position reports into the Receiving & Facility Supervisor and has no direct or indirect reports

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • Associates Degree OR High School diploma and 4+ years of work/educational experience
  • Proficient with Microsoft Office programs (Word, Excel, Outlook)
  • Must possess or be able to obtain a Valmont forklift operatorâ??s license
  • Excellent organizational skills
  • Excellent written and verbal communication skills
  • Ability to cope with occasional stressful situations and difficult people
  • Ability to lift up to 50 lbs. although the most frequent amount of weight to be moved is 15 to 20 lbs.

Highly Qualified Candidates Will Also Possess These Qualifications:

  • Bachelorâ??s Degree is preferred
  • Working knowledge of Report Manager, IFS software, Crib Master, or QAD
  • Working knowledge of Microsoft Visio and Project

Working Environment and Physical Efforts:

Work is performed in an office environment set in the production area.  Incumbent may be required to leave the office area and walk through the production/maintenance areas to deliver reports, gather information, direct contractor to job site, communicate with workers in the shops, etc.  On occasion, incumbent will be required to assist the Facility Projects and Administrative Services Manager with printing and other office duties in an office environment.

This position requires walking, climbing stairs, sitting, bending, stooping and standing in performance of the basic duties.  Incumbent may also need to drive a company vehicle between company buildings.  May also need to lift and carry office supplies or parts as necessary.  Maximum lifting requirement is 50 pounds although the most frequent amount of weight lifted, carried, pushed or pulled is 15 to 20 lbs. which would occur one to two times per week when packages need to be picked up from the MRO (Material Receiving Office). The role does occasionally work as a backfill for the Facility Projects Manager when other employees in that department are absent. In these rare instances, it may be necessary to move packages weighing up to 50 lbs.
