Brief Summary of This Position: This position reports directly to the Senior Vice President Human Resources but also supports other Executives and Corporate HR Department as needed. The incumbent will provide administrative support of strategic planning process and special projects as requested. Responsibilities include managing access to visitors and screening calls; managing executive calendars; optimizing complex travel requirements and meetings; design and preparation of reports and financial data. Assists in the development of presentations and other communication materials. Essential Functions: Responsible for communicating on behalf of executives both internally and externally, and often regarding highly sensitive, complex and/or confidential information. Collects and prepares information for use in meetings of executive staff. Provides comprehensive support services to the Senior Vice President Human Resources, other Executives, and Corporate HR Department as assigned. Schedule and coordinate meetings, appointments, conferences, and interviews on behalf of supported personnel. This may include securing location, coordinating necessary materials/presentation equipment, communications, and arranging food/lunch/ refreshments. Serves as the gatekeeper, managing the calendar and schedule of Executives as needed. Coordinate international and domestic travel arrangements and associated logistical details, as required, for all supported personnel. Handles correspondence, manages incoming calls, and prioritizes phone messages, emails and mail. Handles all calls and visitors with grace and professionalism. Schedules efficient and beneficial onboarding schedule for select new hires as requested. Researches topics as assigned and provides information summary. Serve as back up to other senior executive administrative assistants as needed. Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities): Prefer Bachelors with 3+ years relevant administrative assistant experience, or Associates Degree with 5+ years relevant experience, or 7+ years of relevant experience. Previous C-Suite level executive assistant work experience is a plus Proficiency in Microsoft Office, PowerPoint, Adobe, SharePoint Excellent organization, verbal and written communication skills Excellent computer, Internet research skills, and proficiency using Valmont phone and video conferencing systems Flexibility, superior interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients, vendors and Board of Directors Sensitivity to confidential matters is required and this individual has an obligation to ensure administrative tasks are performed consistent with Valmonts Code of Business Ethics. Ability to handle work of a confidential nature with minimal supervision Professional demeanor representing the Executives and Company in a positive way Must be able to obtain Notary Public certification Flexibility to work beyond standard hours as required in role. Highly Qualified Candidates Will Also Possess These Qualifications: Prior experience in an HR role/department Prior experience in obtaining international visas and passports processes Prior experience interactions with outside Board of Directors Working Environment and Physical Efforts: Work is typically performed in an office setting; however, incumbent may be required to go to offsite meetings at other facilities. The incumbent is regularly required to sit or stand for extended periods of time. Environment is fast paced. The employee may occasionally lift and/or move up to 25 pounds when working with large files, binders, and computer equipment.
