Job Description

Provides administrative support to officers at the operation/strategic business unit level to contribute to efficient and effective business operations.

Essential Job Functions:

  • Screens, handles, or redirects incoming telephone calls and correspondence, schedules appointments and meetings, and provides transcription and word processing material for assigned officers.
  • Organizes, maintains, and updates filing system and records.
  • Gathers, summarizes and analyzes information, statistical data and surveys in order to prepare special reports and summaries that are pertinent to the business area.
  • Composes, handles, and distributes correspondence including those of a confidential and complex nature.
  • Participates in short and long term projects and studies headed by officers.
  • May attend meetings as a member of various task forces, prepares minutes, maintains project records, and serves as an intermediary between Company employees and outside organizations involved in the project or study.
  • Performs various related duties and may supervise and/or direct the work of other clerical personnel within the division
  • This position requires sitting over 66% of the time.
  • This position requires Visual Acuity at 20 inches (or less) over 66% of the time.

Minimum Qualifications:

  • Experience with policies, practices, and procedures in a business environment
  • Proficient personal computer skills with thorough knowledge of various software packages including word-processing, spreadsheet, electronic mail and presentation.
  • Advanced composition and writing skills including grammar, spelling and punctuation
  • Filing skills, organizational ability, attention to detail, strict accuracy, and the ability to work independently and maintain confidentiality
  • Sound judgment, decision-making ability, excellent communication and human relations skills, and the ability to work in pressure situations

Preferred Qualifications:

  • Ability to learn and apply knowledge of Company and operation policies, procedures, and practices; familiarity with key Company personnel
  • Ability to interact professionally with Board directors and executive officers, both internal and external, as well as third party investment and mortgage banking professionals.
