Job Summary:

Work Schedule: Mon-Fri Days

The Medical Records Coordinator maintains the Enterprise Master Patient Index (EMPI). Coordinates with organization leaders to reduce/eliminate EMPI duplicates, to reduce errors and improve registration process. Performs EMPI cleanup; merges/unmerges records, as appropriate. Maintains policies and procedures supporting the EMPI. Assists, as needed with the identification, development and validation testing and training curriculum as it pertains to ongoing EMPI maintenance and cleanup activities. Assists in the day-to-day HIM department activities.

Responsible for working to implement the enterprise master patient index by understanding the legacy master patient indexes as well as the enterprise master patient index. They coordinate with local systems to reduce/eliminate MPI duplicates and performs merges/unmerges and provide follow-up information to registration staff and leaders to reduce errors and improve registration process.


Essential Functions

Supports efforts to migrate to an enterprise-wide MPI, including clean-up of existing identified duplicate records in multiple legacy systems.

Provides follow-up trend information on duplicates, changes, and trends to leadership.

Supports reduction/elimination of duplicate creations through coordination with leadership and suggested improved practices.

Responsible for the development of EMPI clean-up and maintenance policies and procedures.

Contributes to the design of enterprise EMPI maintenance organization.

Assists as needed with the identification, development and validation of training curriculum as it pertains to ongoing EMPI cleanup activities.

Supports integration with scheduling and registration functions.

Assists with Special projects to ensure timely completion as directed by Service Leader.

Provides back up scanning of patient records for Preoperative Nursing Department (Corporate Building Coverage).

  • Accurate scanning of documents received from PreSurgery RNs into the Electronic Medical Records (EMR).
  • Accurate scanning of documents received from Diagnostic Scheduling into the Electronic Medical Records (EMR).
  • Accurate scanning of document received from pre-cert into the Electronic Medical Records (EMR).

Keeper of Physician Attestation Statements including completion of annual review by Centers for Medicare and Medicaid Services (CMS).

  • File Physician Attestation Statements when received from Medical Staff Office.
  • Retrieve Physician Attestation Statements and copy when annual list received in a timely manner.
  • Complete and document the Cerner requests from users in a timely manner.
  • Works daily potential duplicate report and communicates back to Registration Departments.
  • Notifies user when tasks have been completed.

Job Requirements


  • Associates degree in Health Information Management (HIM) required or enrollment in a 4 year HIM accredited program with scheduled completion within 2 years.
  • Requires completion of college level course in medical terminology.


  • Three years’ experience in a Health Information department and medical record management required.
  • Requires knowledge of medical record systems and practices.
  • Training and testing experience preferred.


  • Current Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) preferred.
  • Requires the ability to provide periodic transportation to other campus locations within a reasonable timeframe.


  • Strong knowledge of medical records practices.
  • Ability to work with all staff performing registrations and leadership at various levels across the system.
  • Understands or has knowledge of the EMPI and MPI (Master Patient Index) process.
  • Strong verbal and listening communications skills.
  • Ability to provide excellence in customer service.
  • Strong computer skills:
    • Working knowledge of Microsoft Outlook, Word, PowerPoint and Excel.
    • Ability to learn and work with multiple software/hardware products during the course of an average workday.
    • Ability to operate printer, copier, scanner and fax machines.
  • Ability to read, write and comprehend various documents and reports.
  • Good problem-solving skills and strong attention to detail.
  • Able to organize and perform multiple tasks, problem-solve and prioritize work assignments to meet specific objectives under time constraints.
  • Ability to work with minimal supervision and independently.
  • Work in team environment, adapt to change and assume responsibility for job accuracy and timeliness.
  • May require flexibility in daily schedule, irregular hours, weekends, and/or holiday in order to meet deadlines and project
  • Ability to travel locally to multiple sites throughout the organization.
