  • Purpose of Job
    • Provides experienced clerical and administrative support to department/work area. Generally supports director/system leader personnel in departmental functions and projects. Creates accurate and thorough records during the patient registration process including verification of patient demographics, reason for visit, and financial information. Electronically verifies patient eligibility, financial responsibility, and performs point of service collections as appropriate. Makes referral to financial counselors, as appropriate. Coordinates admission reservation with clinical team.

    • Education
      • High School Diploma or General Educational Development (GED.) required.
      • Additional coursework in clerical or administrative support preferred.

    • License/Certifications

    • Experience
      • Minimum of 3-5 years administrative experience required.
      • Prior experience supporting leadership staff preferred.

    • Skills
      • Excellent interpersonal and customer service skills necessary to communicate with physicians, callers, visitors, patients, family, and team members by verbal and written communication.
      • Ability to communicate both orally and in writing, collect and assimilate data, work in an environment with constant interruptions, learn quickly, and adapt to changes.
      • Skills and knowledge in order to prepare reports, perform calculations, keep records, and deal effectively with people.
      • Medical terminology preferred.
      • Basic knowledge of medical terminology required for this position.
      • Ability to utilize a variety of computer applications.
      • Excellent grammar, punctuation, spelling, and presentation layout skills. Knowledge of office procedures and principles of record keeping.
      • Knowledge of Microsoft Word, Excel, and PowerPoint.
      • Superior organizational skills.
      • Exceptional attention to detail and ability to prioritize tasks.
      • Strong time management skills.
      • Must be flexible with changing deadlines, priorities, and projects.
      • Requires the skills in basic mathematics to support collections of payments including addition, subtraction, multiplication, and division.

      • Requires the ability to multitask with strong attention to details of registration process. Requires the ability to relate to patients in a kind, courteous, and helpful manner.

      • Provides advanced clerical and administrative support to directors, system leaders, and administrators.
        • Courteously greets and gives directions to patients, family members, visitors, physicians, staff, and other customers.
        • Maintains safe, clean, and neat work environment.
        • Demonstrates good communication style and interpersonal communication skills with patients, families, and customers.
        • Provides prompt response and follow-up.

      • Provides advanced clerical and administrative support to directors, system leaders, and administrators.
        • May prepare, distribute, and maintain confidential communications and documents.
        • May assist with departmental budgetary reporting and expense reconciliation.

      • May oversee database or software system(s). Typically acts as the software administrator and IT liaison for departmental application(s).

      • Maintains accountability for the scheduling system and communicates as necessary with all associated people.
        • Understands and utilizes correct surgeon preference cards when scheduling surgeries.
        • Schedules surgical procedures in an accurate manner within the guidelines stated in the Surgery Rules and Regulations.
        • Works in conjunction with PALS nurses to access and inform primary care physicians regarding pre-operative diagnostic studies and testing per patient health assessment
        • Problem-solves for the best use of room space, scheduled time, equipment, instrumentation, and facilities special ordering needs.
        • Reviews the schedule and makes corrections and alterations as necessary before the day of surgery; consults with anesthesia and the OR manager routinely for the effectiveness of the schedule.
        • Maintains current knowledge for scheduling system improving the process when necessary.
        • Documents authorization number and/or CPT codes when provided by surgeon's offices.

      • Acts as a receptionist for the department.
        • Handles incoming and outgoing information in person and by telephone.
        • Always demonstrates proper office communication etiquette.
        • Takes reports from other departments without error.
        • Reports vital information to the appropriate nurse immediately.
        • Obtains information for physicians and telephones stat physician orders immediately upon awareness of the order.
        • Handles all customer interactions courteously and efficiently.
        • Directs calls carefully to avoid multiple transfers.
        • Manages mail process to complete communications efficiently and effectively.
        • Accurately registers and dismisses patients in a courteous and timely manner.
        • Registers patients in the electronic registration system to Methodist Jennie Edmundson Hospital in a courteous and timely manner.
        • Reviews and explains all registration forms prior to obtaining signatures from the patient or patient representative.
        • Scans patient identification documents into the registration encounter.
        • Verifies and enters insurance/payer information.
        • Obtains compete and accurate payer information and scans identification and payer documents and enters the information into the electronic registration system.
        • Completes Medicare Secondary Payer questionnaire and other payer specific documents (including Advance Beneficiary Notice of Noncoverage (ABN) as required.

      • Assists with maintenance and orderliness in the patient care areas.
        • File drawers are labeled, orderly, and stocked.
        • Completes other cleaning tasks as assigned and empties trash confidential bins.
        • Maintains cleanliness for computers and countertops.
        • Checks and fills printers with paper.

      • Assists with patient admissions.

      • Completes inventory of supplies and materials.
        • Checks supply inventory and orders supplies according to par levels.

      • Clerical support.
        • Label and scan documents into the electronic health record.
        • Assures that requests for facsimile copies are completed.
        • Provides phone communication with selected department or agencies.
