Job Description

  • Purpose of Job
    • Schedules patient appointments, and all surgical, and diagnostic procedures. Provides patient instruction regarding all procedures. Ensures efficient, and patient friendly workflow to help provide quality care. Updates patient demographic, and insurance information.
  • Job Requirements
    • Education
      • High School Diploma or General Educational Development (G.E.D.) required.
      • Post-secondary education/training in healthcare, or business operations preferred.

    • Experience
      • Minimum of 1-3 years in patient scheduling, insurance registration, or patient care delivery required.

    • License/Certifications
      • N/A

    • Skills/Knowledge/Abilities
      • Knowledge of medical terminology required. Ability to learn current Methodist scheduling application and electronic medical records (EMR) system.
      • Strong communication skills.
      • Ability to have strong positive social interactions with co-workers, providers, patients, and family members.
      • Requires significant interaction with all medical providers.
      • Ability to take direction from medical providers.
      • Ability to instruct/educate patients on how to properly prepare for surgery according to provider protocol and anesthesia guidelines.
      • Ability to act as a liaison between patients and providers.
      • Must have strong organizational skills and be detail oriented.
      • Must be able to identify, anticipate, and solve problems before they occur.

  • Essential Job Functions
    • Essential Functions I


      • Pre & post-verification of patient's information for the appointment by collecting and /or verifying patient demographics, insurance information, assigning guarantors and other essential information.
        • Recognizes deficiencies in prior registration and updates the information.
        • Uses various tools (i.e., websites, reference books) to verify information.

      • Able to recognize and take appropriate action when duplicate Medical Record Numbers are discovered.
        • Identifies patients with duplicate Medical Record Numbers.
        • Able to relay pertinent information to departments to enable them to move the appointments, then monitor the situation to assure the appointments now appear under the correct Medical Record Number.

      • Answers the telephone in a timely manner with the appropriate announcements.
        • Adheres to the guidance and policies of the Health System.
        • Professional in telephone etiquette.
        • Speaks slowly and clearly when answering the telephone.

      • Reports significant incidents related to patients or department activities and seeks supervision when needed.
        • Recognizes problems and informs the supervisor.
        • Willing to take action when problems occur.
        • Able to provide necessary information to other departments (i.e., Help Desk, IT, Training Department) when reporting system problems.

      • Uses work time productively, demonstrates ability to organize time and sets appropriate priorities (i.e., doesn't abuse personal telephone privileges, keeps unnecessary conversations to a minimum)

      • Provides appropriate care specific to the age of the patient to ensure understanding and comfort level of treatment as outlined in the Age Specific Criteria.

      • Prepares patient for surgery.
        • Sets up necessary patient pre-surgery appointments (ie., History and Physical, Consults with Nurses, Lab Work, etc).
        • Follows up on necessary pre-surgery appointments to ensure patient is cleared for surgery.
        • Pre-certifies insurance as applicable.
        • Sets surgery date following protocols established by medical provider.
        • Completes surgery paperwork, calls hospital surgery schedulers to schedule appointment, then scans appropriate info into medical records.
        • Educates patient on pre-surgery protocols.

      • Communicates effectively with patient and family members.
        • Speaks clearly and in a respectful manner.
        • Elicits and responds to patient questions before proceeding.
        • Gives clear, explicit directions.
        • Checks for understanding and adjusts instruction as needed.
        • Seeks assistance from nursing staff or medical providers as appropriate.

      • Participates in mandatory in-services and/or CE programs as mandated by policies and procedures/external agencies and as directed by management.
