The Role

The Executive Assistant will be responsible for supporting the Executive Vice President, Chief People, Place and Brand Officer in her executive administration needs and effectively project managing other assignments as appropriate.

He/she will be a key enabler to improving the effectiveness of the organizations under the Executives leadership responsibility by proactively coordinating/prioritizing activity, ensuring topics of importance are communicated in an organized and efficient manner, leading projects and/or project coordination, and proactively identifying other areas in which he/she can provide further assistance.

This position is a direct report to the Executive Vice President, Chief People, Place and Brand Officer and will interact frequently with all levels of the organization, including the CEO and executive leadership team. Additionally, he/she will interact frequently with key stakeholders outside of the organization.


  • Executive Organization & Management - Manage executive availability and commitments to ensure clear priorities and optimum use of executive time
  • Meeting Management - Effectively ensure all meetings requiring the executives attendance have a meeting agenda and target outcomes requiring the executives participation
  • Meeting Preparation- Prepare executive for meetings by creating, gathering, and/or organizing material, identifying key questions to be prepared to answer, and preparing reference material in an effective structure.
  • Concierge Level Service Provide a positive experience for all those in contact with executive office and proactively provide exceptional high touch services as appropriate.
  • Work Support- Work behind the scenes to solve problems, mediate disputes, and deal with issues before they escalate up to the executive including delegating work to other appropriate parties, drafting communications for her review, and personally executing tasks.
  • Project Management- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Reporting Produce executive level reports requiring data compilation and analysis
  • General Administration Support Provide administrative support including answering calls, scheduling meetings, taking meeting notes, processing/approving expenses, filing, etc.
  • Continuous Improvement- Create and manage internal organization systems to improve department effectiveness.
  • Presentation Design and Execution As needed, partner with the executive to capture strategies and messaging in innovative PowerPoint presentations. Proactively conduct research to add value to material.



  • High School diploma or 5+years of comparable Executive Assistant experience


  • 3 - 5+ years of executive assistant experience aligned with the responsibilities of this position
  • Exceptional organizational skills and aggressive follow-up skills
  • Ability to prioritize, meet tight deadlines and maintain high quality work
  • Exceptional customer service and relationship management skills
  • Strong problem solving skills with a strong ability to get things done
  • Energetic, responsive team player interested in taking initiative and working in a fast paced environment
  • Excellent written and oral communication skills
  • Demonstrated high degree of professionalism and trust in dealing with confidential and sensitive matters
  • Flexible, adaptable, and professional at all times
  • Highly skilled in Microsoft Office including Word, Excel, Power Point and Outlook
  • Undergraduate degree preferred
  • Ability to work overtime if needed
