The Role

 

The Executive Assistant will be a key enabler to improving the effectiveness of the Administrative Services team by proactively coordinating/prioritizing activity, ensuring topics of importance are communicated in an organized and efficient manner, leading project deliverable coordination, and proactively identifying other areas in which he/she can provide further assistance.
 
This position will interact with all levels of the organization, including the executive leadership team.  Additionally, he/she will interact frequently with key stakeholders inside and outside of the organization.


Responsibilities

 

  • Executive Organization & Management - Manage executive availability and commitments to ensure clear priorities and optimum use of executive time
  • Meeting Management - Effectively ensure all meetings requiring the executive’s attendance have a meeting agenda, prepared materials and target outcomes requiring the executive’s participation
  • Meeting Preparation- Prepare executive for meetings by creating, gathering, and/or organizing material and preparing reference material in an effective structure.
  • Meeting and Event Planning – plan and coordinate meetings/events as needed for the executive and/or team
  • Concierge Level Service – Provide a positive experience for all those coming into contact with executive office and proactively provide exceptional high touch services as appropriate.
  • Presentation coordination – Partner with team members to coordinate presentation materials
  • General Administration Support – Provide administrative support including answering calls, scheduling meetings, taking meeting notes, processing/approving expenses, filing, travel coordination, etc.
  • Reporting – proactively gather and organize reporting requirements
  • Team Focus –Collaborate with the support staff team, providing back-up support to the receptionist and other administrative assistants as needed
  • Budget – coordinate with the finance department on the department’s budget
  • Onboarding – support and coordinate new hire on-boarding
  • Proactive Partnership – anticipate priorities, issues and proactively resolves or escalates where appropriate

 

Requirements

 

Education

  • High School diploma or 5+years of comparable Executive Assistant experience

 

Experience

  • 5+ years of executive assistant experience
  • Exceptional organizational skills and aggressive follow-up skills
  • Ability to prioritize, meet tight deadlines and maintain high quality work
  • Exceptional customer service and relationship management skills
  • Strong problem solving skills with a strong ability to get things done
  • Energetic, responsive team player interested in taking initiative and working in a fast paced environment
  • Excellent written and oral communication skills
  • Demonstrated high degree of professionalism and trust in dealing with confidential and sensitive matters
  • Flexible, adaptable, and professional at all times
  • Highly skilled in Microsoft Office including Word, Excel, Power Point and Outlook
  • Undergraduate degree preferred
  • Ability to work overtime if needed #LI-AE!
