Job Description

The Accounting Assistant performs many intermediate accounting functions and provides support to the accounting department. The role also has the responsibility of managing customer accounts, invoicing, collections and customer payments. Maintenance of multiple databases and multiple tracking spreadsheets will be required as well. Contact and relationships with customers and vendors will require excellent communication skills. Various other administrative type tasks may be assigned in addition to acting as a backup to the receptionist as needed.

 

RESPONSIBILITIES AND DUTIES:

  1. Under limited supervision and on own initiative performs a variety of routine accounting functions in accordance with standard procedures
  2. Maintains customer records and contact information
  3. Reconciles and processes accounts receivable and payable transactions
  4. Processes customer payments and receipts
  5. Contacts delinquent accounts by phone, email, or mail to request payments.
  6. Serves as a primary contact for customers and vendors and answers queries.
  7. Manages and performs purchasing processes
  8. Collaborates with other departments to complete accounting functions.
  9. Maintains highly confidential files and records
  10. Backup to receptionist when needed
  11. Makes independent decisions regarding planning, organizing and scheduling work
  12. Performs other duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Possess knowledge of grammar, spelling, punctuation, office procedures and equipment
  2. Demonstrates good organizational and communication skills
  3. Ability to work well with all levels of internal management and staff, as well as outside customers and vendors
  4. Sensitivity to confidential matters
  5. Excellent team work and collaboration skills
  6. Attention to detail and quality in work products
  7. Intermediate accounting skills
  8. Demonstrates initiative and willingness to take ownership of responsibilities
  9. Ability to make quick, independent decisions based on the information at hand

WORK ENVIRONMENT & PHYSICAL DEMANDS:

Normal office environment with use of computers and telephone systems; no unusual physical demands

 

EDUCATION AND EXPERIENCE:

Degree in Accounting, Business, Finance, or equivalent work experience. Three to five years of accounting
experience.
Strong in Excel, Word and Outlook.
