Creighton University is seeking to hire an Administrative Assistant III for our Graduate Medical Education (GME) program.

Performs complex, advanced, diversified and confidential administrative duties at the function level. Perform routine clerical and administrative functions such as answering phones, drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing strong customer service skills. Must be able to problem solve and search for resolutions to unexpected issues independently.

Job Specific Functions:

  •  Managing GME Office Staff Schedules; communicating with internal and external stakeholders to schedule meetings for DIO and GME Administrator and Managers.
  •  General office duties including greeting all visitors, mail distribution, answering phones, filing, taking notes and compiling minutes for various meetings.
  •  Event Planning and Organization to include GME Mandatory conferences, Wellness events, Research and QI Symposiums, Program Director/Program Coordinator retreats.
  •  Conference Management. Primary role for GME Office and a backup for Program Coordinator conferences including: setting up conferences, scheduling speakers, compile agenda, communicating to attendees, set up zoom if applicable, and taking attendance.
  • Bookkeeping/Ordering duties to include ordering supplies, processing reimbursements, managing verification fund income, and entering expenses and income in the budget tracking system.
  • Onboarding/Advancing/Exiting: Assists with the collection of documents and tracking progress for incoming, advancing, and exiting residents and fellows.

Qualifications:

  • High school diploma or equivalent required
  • Associates Degree preferred
  • 6 years administrative and/or office management experience
  • Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint and Outlook
  • Experience in a medical education setting preferred

Knowledge, Skills, Abilities:

  • Proficiency in Microsoft Office Suite to include Excel, Word, Power Point, and Outlook
  • Knowledge of administrative and clerical procedures and systems such as managing files & records, designing forms and fliers, managing executive schedules, etc.
  • Ability to communicate effectively (verbal and written).
  • Customer service focus including the ability to assess inquiries and provide appropriate information or resolution using judgement and available resources, and proven ability to maintain confidentiality.
  • Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment.
  • Ability to be collaborative and work in a team environment.
  • Demonstrate Professionalism and must be dependable and accountable.
  • Regular attendance required.
