Senior Account Specialist - Business Office

Under the supervision of the Director, serve as the functional liaison to support the Business Office and Student Accounts. This role is responsible for: managing the MET payment plan, processing month-end & year-end accounting entries and reports, reconciling University student loan general ledger and receivable accounts, projection of student loan awards for new fiscal year, coordination of University student loan exit and promissory notes, managing the University emergency loan funds, managing the High School Reciprocal program, administering tuition assessment and processing financial aid payments for study abroad programs, and assisting in the management of the tuition billing system and review of accounts for accuracy. This position is also responsible for gathering information on new tuition and fee costs from each school or department, maintaining the Business Office web page, providing back-up for Financial Services and Student Loan departments, processing refunds for students/parents, working with vendors on software system updates and marketing materials, and answering phones and emails. Duties require understanding of accounting, academic, registration, financial aid, and Business Office/Student Accounts policies and procedures.

Primary Duties:

  • Manage the University's monthly tuition payment plan. Set up payment plans.
  • Communicate with parents and students daily via phone and email regarding student accounts, billing and payment options, financial aid, student loans, and housing.
  • Process month-end and year-end general ledger entries, reconcile University student loan general ledger monthly, project student loan awards for new fiscal year, and prepare fiscal year-end financial reports for University student loans.
  • Manage High School reciprocal program. Set up application process for University employees, calculate and post reciprocal discounts to student accounts, and maintain records for each of the schools. Process student/parent refunds, cancellations of refunds, and process financial aid payments for study abroad programs.
  • Provide back-up for Financial Services and Student Loan Departments. Assist with departmental deposits, applying payments, running reports, and daily balancing.
  • Review daily report for account errors and make adjustments, assist with verification of tuition assessments, and oversee the tuition assessments of study abroad programs.
  • Coordinate student loan exits, process Clearinghouse exits, record paper student loan promissory notes and create digital file. Work with vendor on any system changes and updates for our student loan system.
  • Oversee the University's emergency loan funds. Review applications, process promissory notes, and disbursement of loan funds to students. Ensure loan funds are repaid and balances of loan accounts are maintained for each school.


Minimum Qualifications:

Associate's degree in related area; Bachelor's Degree highly preferred
1-3 years related experience
Excellent verbal and written communication skills
Experience with Student Banner, Banner Finance, Financial Aid, and Registrar information is preferred
Report design and preparation skills
Interpersonal/human relations skills
Analytical skills
High attention to detail
Ability to multi-task and work under limited supervision
Ability to operate personal computer and calculator
Ability to maintain confidentiality
