Job Description

Just like the children we serve, Children's is growing quickly and hiring an Administrator in Physician and Faculty Recruitment. This position manages a comprehensive physician/faculty recruitment and transition program that aligns with the institutional mission and goals. The Administrator maintains knowledge of current and emerging recruitment processes in the industry and serves as a subject matter expert of national physician recruitment trends.

1. Manages recruitment plans and activities for the successful recruitment of physicians and faculty across all disciplines.

  • Implement recruitment policies, procedures, and processes to ensure institutional compliance with governmental and institutional hiring practices. 
  • Develop and implement strategic objectives for the recruitment and retention of physicians and faculty.
  • Stays informed of national trends and practices regarding recruitment activities.
  • Serve as a subject matter expert regarding practices, trends, and innovations and identifies opportunities for their application.
  • Facilitates recruitment partnership and collaborations with external partners such as UNCOM, Creighton University, Boys Town, etc.
  • Establish guidelines for recruitment practices to include advertisement strategies, sourcing options, and relationship building with national and international leaders in the pediatric and research fields, highlighting and strengthening the CHMC brand.
  • Represent CHMC at national pediatric meetings and conferences to create and increase exposure of CHMC and the recruitment endeavors to attract top talented physicians, faculty, and researchers.
  • Assists with presentations and exhibits at local, regional and national meetings.  This includes travel options, third party vendor contracts, logo gifts, invoicing, etc. in collaboration with Physician Relations.
  • Collaborate with Marketing and others to align recruitment advertisements and initiative to be at the forefront of institutional marketing campaigns.
  • Create specialized recruitment plans and practices to attract highly specialized clinical and research physicians/faculty in a competitive pediatric clinical and research environment. 
  • Collaborate with physician and hospital leadership to assess the position including need/impact on key stakeholders, finance, space, etc.  Align recruitment initiatives with organizational strategic planning when applicable.
  • Provide assessment of candidate profiles, plans and implements comprehensive interview process to include a candidate centric site visit incorporating recruitment strategies, key hospital and university leaders, Board and community leaders, when applicable.  Assess and address the professional needs of each entertained candidate.
  • Leads the reference check process, collaborates with involved leaders to ensure appropriate confidentiality, reference thoroughness, coordination of documentation, etc.
  • Develop and facilitates communication plan throughout recruitment process to ensure the necessary leaders and stakeholders are engaged.
  • Develop Family Centered Recruitment Program to address the needs of any candidate being pursued for hire.  Develop employment assistance/networking program for spouse/partner to enhance recruitment.  Partner with industry and community leaders to establish relationships that will provide networking employment opportunities.  Establish relationships with schools, athletics, the arts, etc. to address the family needs of candidates.
  • Collaborate with the Fellowship Recruitment and Transition Program as a strategic approach to provide quality patient care, establish a pipeline for faculty, to promote and uphold the CHMC brand.
  • Assists spouses/partners of all candidates with transition including career networking, schools, childcare, the arts, community connections, etc.
  • Works collaboratively with all members of the Physician and Faculty Affairs team, hospital, university, community personnel.

2.  Oversees contracts and invoicing related to any recruiting firms, ie locum tenans

  • Engages with recruiting firms and establishes contracts, rates, guidelines, etc.
  • Reviews CV’s and supports the selection process.
  • Ensure compliance with licensing, medical staff, AR credentialing, etc.
  • Implements invoicing process that aligns with division, CSP, and accounts payable.
  • Follow-ups with division and individuals regularly to ensure compliance and contract fulfillment.
  • Serves as liaison with recruiting firms.


3. Coordinates the On-Boarding and Transition of physician and faculty to the institution and university, when applicable.

  • Implement On-Boarding practices to comply with all institutional and University hiring guidelines.
  • Coordinate the Transition Services Program to provide upscale comprehensive assistance in recruiting and transitioning physicians, faculty, physician executives, and their families to attract and retain top talent.
  • Identify transition needs and coordinate and/or collaborate with Legal Services (immigration and contracts), Medical Staff Services (licensing and credentialing), Human Resources (CHMC, UNCOM), etc.
  • Updates and maintains a database of professional and community contacts to assist with the recruitment of top talent and their families.
  • Provide assistance to the new hire throughout the transition process.
  • Coordinates compliance with Immigration, hiring, medical licensing, AR Credentialing, etc.
  • Track AR Credentialing and troubleshoot barriers to ensure new hires are credentialed with all payors prior to or on start date as much as possible.  Understand and follow-up on AR Credentialing status.
  • Coordinates the compliance of any orientation training; Human Resources (benefit enrollment, insurance enrollment), Quality and Safety, Error Prevention, EPIC, Research Training; CITI, ICOC, etc.
  • Collaborates with UNCOM regarding research faculty including Sponsored Programs (grant transfers), Veterinary Services (animal transfers and care), Relocation (equipment and supply moves, cell lines, etc.)  Ensure compliance of any transfers.

  • Strong knowledge and understanding of physician recruitment or physician relations
  • Highly effective negotiation and project management skills
  • Effective verbal and written communication skills
  • Bachelor’s degree from an accredited college or university in business, medical, or related field required or healthcare experience may substitute for education
  • Three years’ experience in physician recruitment, physician relations, healthcare, public relations, business or marketing
