Job Description

Just like the children we serve, Children's is growing quickly and hiring a Senior Human Resources Services Specialist to serve as the first point of contact for many HR-related issues. The position answers the main customer service telephone line, handles inquires via the department email address, and helps employees who visit HR in person.  Process all workflow items routed through the HR systems, directly processing those within their scope and referring others for further review. Provide support to Talent Acquisition in scheduling interviews and completing the new hire on-boarding process. Maintain files and documentation, ensures timeliness and accuracy of all work.

  1. Serves as first contact for HR department inquiries.  Answers inquiries via phone calls, email and walk-ins.  Answers questions requiring intermediate HR and policy knowledge regarding diverse topics such as benefits, time-off, leave of absence, talent acquisition and compensation.   Escalates questions or issues that can’t be handled via first contact resolution to other department staff, with a goal of providing as much first contact resolution as possible.  Develops and maintains strong customer service skills, ensuring accuracy and timeliness in all employee interactions.  Maintains professionalism in all circumstances and communicates with all levels of employees throughout the organization.

  1. Updates and maintains records in HR systems, including processing workflow items and routing others for further review, often of more complexity than the HR Service Specialist position would handle.
  • Enters data for employee record changes through approval and routing of workflow within HR systems;
  • Updates employee files and employee records in HR systems to document personnel actions and provide information for payroll and reporting needs. 
  • Updates employee enrollment in elected benefit plans as a result of family status changes.
  • Ensures accuracy and integrity of employee data and meets all timeliness standards.
  • Assists in the resolution of system problems, updates, and changes to the HR systems.
  • Researches and recommends solutions as appropriate.
  • Processes requests for and payment of reimbursement under the Tuition Assistance program
  • Maintains employee and new hire documentation, including paper files and scanned files

  1. Supports Talent Acquisition with scheduling interviews and completing the on-boarding process for new hires.  Maintains job description database and records appropriate new hire and referral bonuses.

  1.  Checks and verifies licenses and certifications, including clinical and motor vehicle, and ensures appropriate parties are notified of expirations.

  1. Generates reports from HR systems as needed for the Human Resource department.  Assists with other projects for the department, as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:
  • Ability to communicate with customers at all levels of the organization and with outside vendors using excellent interpersonal skills
  • Skill in typing and usage of computer
  • Ability to pay close attention to detail
  • Strong analytical and problem-solving skills needed to trouble shoot discrepancies in data or employee requests
  • Computer proficiency with Microsoft Word, Excel, and Outlook required
  • Computer proficiency with HR information systems preferred
EDUCATION AND EXPERIENCE:
  • High School diploma or G.E.D. required
  • Associates degree preferred
  • Two to five years of Human Resources experience with an emphasis in benefits and/or HR/Payroll systems experience required
  • Oracle experience preferred
