Job Description

Just like the children we serve, Children's is growing quickly and hiring a Medical Secretary III for the Cardiothoracic Surgery department. Provide administrative and research support for Clinical Service Chief/Allied Health Professionals. Maintain Physician calendars, scheduling and maintenance to prevent conflicting commitments of Directors/Allied Health Professionals meetings/clinics, call and educational schedules. Schedule clinic appointments accurately through obtaining appropriate demographics and soliciting information necessary to schedule appropriately.

1.        Provides administrative and research support for Clinical Service Chief/CT Surgeons/Advanced Practice Clinicians/Nurses.

         Creates, edits, transcribes and distributes administrative correspondence, publications and other reports, within designated time frames

         Opens, sorts, delivers, and takes action with Clinical Service Chief mail when appropriate on a daily basis.

         Maintain Department and Physician calendars, scheduling and maintenance to prevent conflicting commitments of Directors/Allied Health Professionals meetings/clinics, call and educational schedules

         Provides appropriate staff and customers with physician availability.

         Arranges reserves and submits for authorization all national and international travel accommodations in an accurate, timely manner to ensure ease of travel at the lowest cost.

         Follows departmental procedures concerning physician licensure, insurance contracts, and credentialing.

         Creates/edits PowerPoint presentations.

         Types/submits research abstracts, manuscripts and book chapters for publication.

         Copies/files journal articles for research purposes.

         Maintains IRB and IACUC files/protocols.

         Monitors and facilitates special projects (e.g., conferences, special events, etc.)

2.        Schedules clinic appointments accurately through obtaining appropriate demographics and soliciting information necessary to schedule appropriately.

         Acts as a focus of communication and resource person for callers/guests/staff requiring information/direction.

         Demonstrates positive customer service when greeting patients, care providers and others via electronic communication.

         Ensures accurate scheduling of the patient with the correct MD, clinic, and studies.

         Schedules appointments accurately through obtainment of appropriate patient demographic and insurance information, identifying all payment sources prior to visit as appropriate.

         Ensures good customer service by giving the caller options for time and date of appointment, if possible.

         Accurately enters clinic appointment into Cadence.

         If PCP is making an appointment for a new patient, ensures copy of medical records is sent to clinic and request referrals

         Requests referral from PCP at the time of scheduling the appointment.

         Maintains and updates patient information system, making changes as needed

         Schedules interpreters for patients as needed

         Performs support and message triage for CT Surgery RN as necessary.

         Coordinates surgery scheduling processes.

3.        Transcribes patient related dictation, reports, notes, and other patient materials.

         Maintains turn around time on dictation with minimal errors as established by clinic.

         Makes proper notations such as copies needed and any special instructions.

         Copies and mails transcription as indicated on reports.

         Prepares materials needed for conferences.

         Maintains an accurate patient information system.

 

Regular attendance at work is an essential function of the job.

 KNOWLEDGE, SKILLS AND ABILITIES:

         Ability to work independently and proactively preparing correspondence, reports and other materials with accurate proofreading and initiate action as needed.

         Good interpersonal skills necessary to communicate effectively with callers and customers.

         Ability to hear and type dictation (60-80 wpm) from a transcriber.

         Skills in PowerPoint, Excel, Word, and Internet required.

         Medical terminology required.

         Excellent organizational skills

         Ability to coordinate/prioritize multiple projects and meet deadlines.

EDUCATION AND EXPERIENCE:

         High School diploma or GED required

         Minimum three years' administrative support experience in a medical, medical legal or healthcare setting required.

         Previous administrative support experience with an academic institution preferred.
