Job Description

SECTION I - POSITION PURPOSE (why position exists)

  • To assist the TMS Finance and Accounting departments with general administrative functions.

SECTION II – DIMENSIONS (breadth and scope of duties)

  • This position will be responsible for assisting the Director of Equipment Procurement, Truckload Controller, and their respective staffs  in various administrative tasks to support the Finance and Accounting functions of the Corporation. The position will help ensure the Corporation’s deadlines are met while also maintaining excellent documentation.    The position will report to the Director of Equipment Procurement while also receiving direction from the Truckload Controller on Accounting-related tasks. The scope and duties of this position are corporate wide.    

SECTION III - ESSENTIAL JOB FUNCTIONS (list individual job duties and the percentage of time spent on each)

  • Assist with the preparation of tractor permit books
  • Prepare and submit documents to support vehicle registration transactions
  • Scan and index vehicle registration and permit documents
  • Assist with phone calls related to permitting issues
  • Document, scan, index, and file vehicle titles
  • Assist with management of tolling device inventory
  • Deliver and receive vehicle titling and registration documents from Hamilton County Courthouse
  • Assist with the execution and documentation of vehicle sales transactions
  • Prepare and distribute internal reports related to company equipment
  •         During Close, pull invoices out of imaging system, look  for misclassified items, and research potential prepaids
  •         Weekly  reconciliation of the Risk paids
  •         Monthly Accounting Red & Blue Book schedule and graph prep along with assembly and distribution
  •         Daily Fuel Imports
  •         Twice Daily AP TMT Import
  •         Local Deposit Tracking
  •         Other Accounting Reconciliation Spreadsheets
  • Backup President’s Administrative Assistant for travel plans, press releases, etc.
  • All other duties as assigned

SECTION IV - KEY KNOWLEDGE AND EXPERIENCE (should be minimum qualifications needed for the position)

 

  • Minimum High School Diploma
  • Must be able to demonstrate proficiency in Microsoft Excel
  • Possess strong initiative in a fast-paced environment
  • Demonstrated  verbal and written communication skills
  • Demonstrated ability to manage multiple tasks effectively under a high work volume
  • Excellent attendance record
  • Possess a positive attitude when working with all levels of professionals inside and outside the company
  • Must be able to work well with deadlines
