Position Purpose

Primarily, this person will provide administrative support and assistance to the Director of Contract Administration (the “DCA”) and will also assist the General Counsel’s office on an as-needed basis. 

 

Position Responsibilities

  • Monitor and manage the current Contract Management System (the “CMS”).
  • Help assess, purchase and implement a replacement system for our current CMS.
  • Maintain status updates on all contracts within CMS.
  • Ensure internal employee compliance with Customer Contract Review policy.
  • Identify and send reminders to the DCA when a contract is pending review, is approaching the ten business day     deadline and provide necessary support and follow up.
  • Communicate and coordinate with external customers under the direction of the DCA. 
  • Handle all calls, information requests, status updates, etc. from the Sales and Marketing Department and/or assist the Director in responding to same. 
  • Handle and respond to all emails from Sales and Marketing or inter-company correspondence in relation to transportation or other contracts.
  • Internally track, manage, respond and follow up on Transportation Agreements whether pending, in process, or completed.
  • Print contracts and NDA’s as requested for signature by the DCA and distribute to the appropriate parties.
  • Organize and maintain legal files.
  • Create, manage and update Excel spreadsheets for all contract lists, including all customer transportation contracts and NDAs.
  • Manage calendar in reference to meeting and/or conference calls.
  • Learn contract review and negotiation skills with the goal of one day assisting the DCA with contract review work.
  • The CAA will take the lead on any projects as directed by the Director of Contract Administration or General Counsel, such as, creating an Excel spreadsheet and maintaining a list of all “Trailer Interchange Agreements by company name and date, etc.” Creating and maintaining a list of Power of Attorney (POA) letters for Customs inbound shipments and other similar projects.

 

 

Position Requirements

High School degree required; additional qualifications such as an Administrative assistant or Secretary or any education or training toward a paralegal Certificate will be a plus. A number of essential skills are required to carry out tasks, these include excellent organization skills, multi-tasking, quick decision making, good verbal and written communication, interpersonal, proficient English, computer proficiency using Microsoft office, Microsoft Word, and creating and managing Excel spreadsheets.  A strong personality required, meaning, not easily intimidated.  Must be a self-starter and capable of working with limited supervision.  Motivated to exercise some self-training toward legal and contract terminology (if no previous training or experience in that area).
