Job Summary: Assists the CEO and Executive Leadership as needed with planning, organizing, coordinating and implementing administrative functions and special projects. Serves as liaison between executives, staff, managers, physicians and community. Coordinates and manages SSDA Board of Directors meetings, communications, and correspondence. Prepares and submits various core measure data reports. Education: Required: Associate Degree in Business or Office Management or comparable work experience, or a combination of education and experience. Preferred: Medical Terminology, Microsoft Word, Power Point, Publisher, Excel and Access. Specialized courses in computer systems. Good customer service skills. Strong verbal and written communication skills. Ability to work independently, meet deadlines and perform within time constraints. Experience: Required: Minimum of five years progressively responsible secretarial/administrative experience. Office experience in using personal computers including Microsoft Word, Excel, Access, Publisher, Power Point, Publisher, Outlook, internet research and database management/maintenance. Preferred: Prefer individual with the overall knowledge of the health systems organization, policies and procedures. Performs administrative and clerical duties CEO, COO, CMO, Director of Finance, and Executive Leadership of Southside/Dodson Ave. Attends meetings, inservices, educational programs, and functions as requested. Refers comments, suggestions, and complaints from customers and staff confidentially. Answers all incoming telephone calls and responds in a prompt manner. Assists CEO, COO, CMO, Director of Finance, and Executive Leadership with physician contracts and monthly check requests. Coordinates travel arrangements. Knowledge of EHS forms, to include how to access them and to remain current with appropriate templates and procedures that are standard for EHS. Proficient with Microsoft Word, Excel, Access, Power Point, Publisher and Outlook. Knowledge of Peoplesoft Financials/Supply Chain, EHS People Center, AP Check Request, Kronos Supervisor and HLC Learning Administrative duties. Prepares and submits statistical data for Administration, and Physicians. Ability to work under stress and numerous interruptions throughout the day. Must be able to work with minimal supervision. Serves as a Notary Public for Southside/Dodson Ave Health Centers. CMS/Joint Commission Perinatal Care Core Measure data report. Submits quarterly accreditation data to Comparion Analytics. Collects monthly Health Center statistical data for perinatal care mothers, newborns and breastfed newborns from OBIX. Enters data online to Comparion Analytics website for CMS/Joint Commission mandated initiative. Petty Cash Specialist - maintains, balances and replenishes petty cash fund for Southside and Dodson Ave campus. Health Center Parking - assigns parking hand tags to all Health Center employees, Physicians. Maintains parking Database for the Health Centers.
