EXAMPLES OF WORK:
This position is responsible for processing all documents related to applications for licenses, and maintaining these associated records of license issuance or denial for professions and occupations. The successful candidate will provide thorough reviews of licensing documents and financial transactions, and ensure adherence to statutes, regulations, policies, and procedures applicable to the Licensure Unit. This position supports the Emergency Medical Services (EMS) licensing program and the Board of Emergency Medical Services, including preparing correspondence, handling payments, managing travel arrangements, and performing all tasks related to examination processes and activities. Additional duties include preparing and monitoring contracts, processing expense reimbursements, initiating accounts receivable and payable transactions, processing refunds, and ordering necessary supplies/equipment. 
QUALIFICATIONS / REQUIREMENTS:
REQUIREMENTS: Experience in secretarial or general office work with responsibility for developing and applying office support methods or procedures OR post-high school coursework/training in office management practices or secretarial support functions.

PREFERRED:
Within the last 2-3 years-
  • The ability to review applications/documents in accordance with statutes/regulations/guidelines.
  • Computer experience including proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Access or other similar software.
  • Experience in handling phone calls and in-person customer service related to the status of applications and/or required documentation.
  • Experience in organizing, tracking, updating, and timely filing/retrieval of electronic and manual records/files.
  • Experience in working with confidential documents and HIPAA compliance.

Other: Valid Drivers License or authorized independent transportation. 
KNOWLEDGE, SKILLS AND ABILITIES:
Must have effective communication skills and have the ability to accurately explain state statutes and regulations and application requirements to both internal and external customers. Must be able to read legal documents and understand regulations. Must demonstrate the ability to seek direction as needed.
