Job Description


-Serves as the primary advisor to the Commander for all unit administrative support functions. Implements IM policies and procedures related to assigned areas of responsibility. Recognizes need, initiates action, directs or personally formulates new administrative policies and procedures, and recommends changes designed to improve administrative efforts or services. Utilizes knowledge of a wide range of rules, procedures and operations to provide administrative support for records protection and safeguarding; electronic records management; e-mail application and training; Privacy Act and Freedom of Information Act requests and training; military personnel and pay actions; correspondence and mail management; and centralized orders and travel processes. Utilizes knowledge of the organization, programs, missions, and functions of the Squadron and its major issues, program goals, objectives, work processes, and administrative operations in performing a wide variety of complex support work requiring analyzing interrelationships with the requirements of customers and other functional areas. Accomplishing the program tasking involves a combination of long-range planning and current operational analysis and measurement. The work is both proactive and reactive in natures and involves multiple tasking and prioritizing of work to meet operational missions based on the commanders intent. Applies practical knowledge of classified mail receipt, storage, distribution, destruction regulations and procedures as well as practical knowledge of means of access to electronic informational resources and training to include the Air Force Electronic Publications Library and other internet sites for regulatory and procedural references. The Nature of the Assignment is such that it requires application of knowledge described above in performing the following administrative support functions for the unit:
   -Serves as the unit personnel database and automated orders system coordinator. Ensures guidance, training, support, and assistance are provided to functional areas.  Performs duties used to maintain the  integrity and security of database elements and information. Ensures access is limited to authorized individuals. 
   -Plans, organizes, directs, and oversees the implementation of electronic media and computer systems within the section and throughout the administrative functions of the squadron. This includes electronic records management, electronic publications distribution on the LAN, automated maintenance of the base and functional libraries (on computer disks), use and application of computer generated graphics, desktop publication, etc. Ensures electronic records maintained on the LAN are preserved, maintained, and disposed of in accordance with established directives. Manages software application training throughout the unit for administrative systems including electronic mail. Coordinates with the LAN Administrator on individual access rights to LAN-based applications. 
   -Identifies, maintains, and protects official records. Coordinates and processes requests for records and other documentary materials. Provides research guidance, obtains materials for inquiries or counsels the requester on source. Compiles material for reports and Privacy Act records for submission to higher headquarters. Provides Privacy Act and Freedom of Information Act (FOIA) procedural training. 
   -Ensures technicians are aware of policies, procedures and practices of senior management as they
relate to the work of the unit. Coordinates training activities for Drill Status Guardsmen. Monitors the training programs for all assigned support services personnel, including Information Management (including Work Group Management), Services, Disaster Preparedness, Security, and Safety personnel. 
   -Accomplishes or assists in accomplishing a variety of military personnel transactions including appointments, enlistments, separations, promotions, duty assignments, transfers, officer and enlisted evaluations, line of duty actions, security clearances, retirements, applications for school, payroll actions, and other personnel and pay actions, and forwards same to a higher level military personnel or finance office.

This is a Permanent Excepted Service position 

Military Membership in the state of Ohio is required

  • Minimum Military Grade: A1C (E-3)
  • Maximum Military Grade: TSgt (E-6)
  • Compatible AFSC: 3A1X11

It is not necessary for applicants to possess the MOS/AFSC listed as compatible to the position in order to apply. General Experience:

Administrative or clerical experience, education, or training which demonstrates the candidates ability to perform the duties of the position. Experience using computer and automation systems. 


Specialized Experience: (GS-0303-07) -

Must have at least 12 months experience in the interpretation and application of regulations, procedures or laws. Experience that provided a working knowledge of administrative functions. Experience demonstrating the ability to advise lower graded employees. Experience working independently and setting priorities with very little supervisory control.



Completion of 2 academic years of education in an accredited college or university will satisfy the requirements for GS-4 positions. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours)

beyond the second year is equivalent to 6 months of specialized experience for GS-5 positions.


This position is being announced in accordance with state merit promotion procedures and collective bargaining agreement. Wearing of the appropriate military uniform is required while employed in this position. Permanent change of duty station (PCS) funds are not available. 

If you are an AGR and are selected for this position, you will be required to vacate your AGR status. 

Successful applicant will be assigned to a compatible military position in an appropriate unit of assignment in the Ohio National Guard.
