Job Description

Clinical Assistant will perform projects as assigned and reports directly to the Executive Director.

The Clinical Assistant assists the Executive Director, and Administrative Staff, in providing professional support services such as typing, filing, scheduling appointments, recording minutes, preparing reports, doing research and managing projects.

Supervisory Responsibilities    This position has no supervisory responsibilities.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Clerical Support to Executive Director:

  • Types and files correspondence for the Executive Director
  • Attends Board of Directors Meetings and prepares documentation for the meetings (i.e. Types: BOD Agenda, CED report, Minutes of Mgmt Team mtgs, Qtrly All-Staff Mtgs, and other  correspondence as assigned,.

Clerical Support to Other Programs may include: 

  • Instructs new patients in completion of medical history, client information forms and any other paperwork required.
  • Provides support services to programs as needed.
  • Takes client’s vitals (blood pressure, pulse, temperature, weight, height) and record results.
  • Sets up computer and connects to the internet host sight for Tele-health sessions; problem solve, as needed.
  • Contacts providers to schedule appointments and enter them into LWSI computer schedule.
  • Responsible for referring clients to appropriate personnel to assist with medication inquiries.
  • Assists with daily reminder phone calls as deemed necessary.
  • Completes follow-up survey calls for all Programs (STR, DETOX, IOP, OP, AFTERCARE).
  • Will provide telehealth support or support services as needed by other programs with approval by the ED

    Records Management:

  • Provides client information to staff as needed.
  • Maintains minimal filing of client information.
  • Insures information is properly transmitted via fax, scanned and uploaded, if applicable, prior to destruction.    
  • Assists clients with completing consents to release confidential information with client and/or Guardian (if applicable).
  • Works closely with clinical, administrative, and support staff, as well as outside agencies to ensure coordinated services for clients.
  • Assists with scanning and uploading paper documents into the appropriate client’s electronic health record.

Other:

  • Must comply with Agency policies and procedures, including those regarding conduct, confidentiality, and record keeping.
  • May assist in budgetary and management tracking.
  • Ability to assist Substance Abuse and Outpatient Mental Health Clinical Assistants as well as Referrals Department, as needed.

     

Education and/or Experience: Associate’s degree (A.A.) in a clerical or business-related field, or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.  Medication Aide Certificate preferred.

Certificates, Licenses, Registrations:  Must be a Nebraska licensed driver with an insurable driving/safety record.   Medication Aide Certificate (preferred but not required)

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Must be at least 21 years of age.
  • Proficient with Excel and Microsoft Office
  • Successfully complete a typing test demonstrating abilities to perform the essential duties of the position.
  • Is able to answer a multi-line phone and direct callers.
  • Able to type, file, photocopy, fax, scan, collate, shred, and organize files.
  • Accurately schedules appointments.
  • Ability to use electronic dictation equipment.
  • Is able to efficiently assist clients in the paperwork process necessary to begin services.  
  • Ability to set-up and start appointments for clients.
  • Ability to learn to problem solve computer connectivity to Tele-health site if IT personnel is not available.
  • Ability to pass and maintain extensive background check required by the agency.
  • If in substance abuse recovery, a minimum of two years continuous sobriety/ “clean time” is required and maintained throughout employment.
  • Willingness to obtain a flu shot, as Agency designates.
