Summary                                           

The Receptionist greets and assists all clients and visitors to the agency, schedules appointments, answers and directs incoming calls, and takes accurate phone messages.

Supervisory Responsibilities      This job has no supervisory responsibilities.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Outpatient Services:

  • Efficiently uses (or successfully learns to use) a switchboard phone system. 
  • Accurately computes fees and collects payments.
  • Schedules client appointments.
  • Finalizes appointment information into the computer system, as needed.
  • Greets clients and visitors, has them sign in, and announces their arrival.
  • Assists new clients with paperwork, as needed.
  • Follows up on missed client appointments (“no-shows”).
  • Makes appointment reminder calls; maintains call instruction list.
  • Assists clinical assistants to enter clinical schedules based on each clinician’s indicated availability as needed.
  • Ask clients to complete quarterly Perception of Care surveys; enters results into database.
  • Updates information in client Electronic Health Records (EHR)

Administrative Services:

  • Opens and/or closes the agency each day; posts holiday notices.
  • Day staff maintains the employee sign in/out sheets.
  • Completes the Reminder Call Log each day.
  • Calculates OQ forms and MAST/DAST test scores
  • Tracks daily psychiatry contacts for billing purposes
  • Runs debit/credit batch reports daily; completes daily Batch reports.
  • Tallies payment information daily.
  • Assists the Business Office with getting client statements ready for mailing each month.

Other:

  • Diligently works to maintain confidentiality of all client information.
  • Keeps reception area clean and sanitized.
  • Must comply with Agency policies and procedures, including those regarding conduct, confidentiality, and record keeping.
  • Assists other departments with projects as available.
  • Other duties, as assigned.

Education and/or Experience                                                

High school diploma or general education degree (GED); or six months related experience and/or training; or equivalent combination of education and experience.

Certificates, Licenses, Registrations

Must be a Nebraska licensed driver with an insurable driving/safety record.

  • Ability to handle crisis situations calmly and effectively.
  • Ability to organize work and determine priorities and to effectively manage multiple duties, which may occur simultaneously.
  • Possess excellent oral and written communication skills.
  • Ability to efficiently operate Accounting and Scheduling software, Microsoft Word and Excel programs.
  • Skill in typing, scanning, photocopying, filing, record keeping and operation of general office equipment.
  • Ability to pass an extensive background check.
  • Must be at least 21 years of age.
