Assists with managing the scheduling of training, presenters, material preparation, data management, reporting and business functions to support the overall needs of the Boys Town National Training department. Responsible for the day-to-day operations of the office and equipment usage.
MAJOR RESPONSIBILITIES & DUTIES:
Assists Director and Training Managers with managing the Resource Scheduler to track service delivery, trainers schedules, ordering of materials, and data-management to support the overall needs of the organization for effective training services.
Manages Equipment/Supplies: Maintains and orders office equipment and supplies to ensure Training Department has materials/supplies to provide quality service
Schedules Training: Works closely with the Training Manager and Director to maintain the Resource Scheduler in Dynamics 365 and all services being delivered to schools, affiliate sites, external youth care agencies, and LIFT sites
Prepares Materials: Works closely with the Training Team and BT Press to order workshop materials and prepare auxiliary training and consultation materials for the effective delivery of training
Data Management: Collects and compiles data from multiple sources to manage event registrations, certificates of attendance, and authorization contracts and letters.
KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to obtain knowledge of the Dynamics 365, Workday, and other Boys Town systems.
Knowledge of office administrative procedures, practices, and maintaining digital filing
High level of professionalism, customer service, and interpersonal skills.
Working knowledge of PC software applications with proficient utilization of Windows-based programs and Microsoft Office, including PowerPoint, Excel, Word as well as Adobe.
Ability to communicate with individuals at all levels in the organization and with external business contacts in an articulate, professional manner while maintaining necessary degree of confidentiality.
Ability to work independently, prioritize projects, meet deadlines, and multi-task while maintaining quality standards.
Strong attention to detail with an emphasis on quality of work.
REQUIRED QUALIFICATIONS:
High school diploma or equivalent required.
Minimum of 2 years of administrative experience required.
PREFERRED QUALIFICATIONS:
Previous office coordination or office management experience preferred.
