This position provides administrative support and project management for the Office of the Executive Vice President and Provost, including the Institutional Research (IR); P-16 Initiative; Global Engagement; and Diversity, Access, and Inclusion (DA&I) administrators and staff.
Duties & Responsibilities:
Project Management (60%): This individual will be responsible for providing project management to the Office of the Executive Vice President and Provost, including but not limited to the following: • Work on projects that require interpreting data, detecting patterns, integrating information from various sources, and making decisions based on multiple factors and options available. • Assist with research on pertinent subjects or issues, as assigned. • Work collaboratively with campus departments and internal/external partners on activities. • Assist with event planning, including compiling/updating mailing lists, preparing/mailing meeting invitations, reserving venues, arranging catering, and recording RSVP responses. • Calculate the annual Spirit Plate distributions for UNK, UNL, and UNO; notify the campuses’ Chief Academic Officers of the funding amounts. • Assist with other duties as assigned.
Administrative Support (40%): This individual will be responsible for providing administrative support to the Office of the Executive Vice President and Provost, including but not limited to the following: • Schedule meetings (in-person, videoconference, conference calls, etc.) for the Institutional Research (IR); P-16 Initiative; Global Engagement; and Diversity, Access, and Inclusion (DA&I) administrators and staff. Assist with room and technology arrangements and meeting material preparation. • Prepare foreign and domestic travel arrangements (including airline, hotel, ground transportation, conference registration) and process electronic pre-trip and expense reimbursement forms utilizing Concur and SAP. • Answer multiple phone lines; assist with customer inquiries, direct calls, and take messages as needed. • Assist with monitoring budget allocations using Microsoft Excel, including establishing/maintaining systems (e.g., expense tracking) and procedures for smooth functioning of workflow and coordinating expense reimbursements. • Maintain contact lists and spreadsheets for various committees and task forces, including the DA&I advocacy network. • Prepare correspondence, documents, spreadsheets, and reports from draft copy and in various formats; draft original correspondence; and proofread correspondence/documents. • Order office supplies from eSHOP. • Organize and maintain a complex office filing system in compliance with the Records Retention and Disposition Schedule. • Manage multiple office calendars; maintain and distribute a calendar of office activities on a monthly basis. • Provide coverage at the Varner Hall Receptionist’s Desk, as necessary. • Assist with other duties as assigned.
Minimum Qualifications: This position requires a bachelor’s degree with two years of responsible administrative support experience. An equivalent combination of education and experience from which comparable knowledge can be acquired may be considered. Advanced knowledge and skills in Microsoft Office applications (Word, Excel, and PowerPoint) and experience in internet research/navigation are required. Experience with maintaining spreadsheets, booking travel arrangements, calendaring, and scheduling meetings is preferred.
