JOB OVERVIEW

Responsible for company and employee/patient reception, registration, and scheduling for all occupational health services provided in the Madonna Fit for Work Program and TherapyPlus Clinic.  Responsible for appointment management and coordination for patient care, and administrative services to ensure efficient operations of the Fit for Work program, Madonna TherapyPlus clinics and Madonna Rehabilitation Specialists. This includes, but is not limited to: setup and coordination of patient appointments, patient registration, obtaining workerâ??s compensation authorization prior to services, patient referrals for services to external providers as indicated, physical occupational and speech therapy services, Physiatry services opportunities. Develops and maintains data tracking and reports for key factors such as reported injuries per company, cancellation/no-show rates for Fit for Work services, authorization for services and referral numbers and other reports as needed to support operations.  Job demands strict confidentiality and attention to details schedule changes and conflict. Supports team members with special projects and requests.  Responsible for innovative changes to all processes for continuous improvement.  Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility.

ESSENTIAL FUNCTIONS

(INFORMATION)

  1. Coordinate and compile information as it relates to the scheduling of physical therapy, occupational therapy, physician and off-site services.  Responsible for patient registration, insurance verification, paper work and faxing reports. 
  2. Assist with and conduct drug screening collection and analysis for clientâ??s employees for their pre-employment process.
  3. Incorporate change in patient needs to ensure flexibility of system delivery.  (Such as appointment time changes, authorization, cancellations, referrals)
  4. Schedule patient for appointments to internal/external referral sources.  To include:  diagnostic, procedural, therapy and consultation.
  5. Coordinate, compile, compute, and copy company and patient information in a timely manner to provide departmental services in accountability.
  6. Process Fit for Work mail to ensure a timely response.
  7. Obtain authorization and approval for scheduled services through case managers.
  8. Receive telephone calls, record messages accurately and direct to appropriate staff.  Take and give laboratory and imaging study reports and return phone calls as directed.
  9. Complete company billing for occupational health services using completed Fit for Work internal billing sheets and charge tickets. 
  10. Complies and creates packets for Fit for Work screens.
  11. Assists with data collection for special projects as requested.
  12. Maintains all Fit for Work company files, profiles and protocols.
  13. Complete and maintain departmental operational procedures manual for Fit for Work.
  14. Attend and assist with health screening events including assisting with data entry and other duties related to the health screens as assigned.
  15. Assist with flu shot clinic data entry for medical claims processing

(PEOPLE)
  1. Greet companies and clients, in a friendly and hospitable manner to determine specific needs, refer to proper staff to ensure quality service delivery.
  2. Serve all customers (Fit for Work, TherapyPlus and Madonna) in person or on the telephone to ensure quality service delivery.
  3. Communicate effectively with internal/external customers.
  4. Communicate with supervisor, therapists, physicians and therapy staff to promote open communication.
  5.   Supports team members with various duties and tasks as needed.
  6. Follow instruction from manager to perform other functions as assigned in order to achieve the goals within the department and Madonna as a whole.  Participate on teams and/or committees as requested.
 


QUALIFICATIONS 

EDUCATION and EXPERIENCE:  Prefer associate degree with 2 years experience preferably in health care, workers compensation, benefits or scheduling.  Will consider work experience in lieu of associate degree.

SKILLS:  Must have excellent customer service and accountability to build relationships over the telephone, problem solving skills and organizational skills.  Must be able to work independently as well as on a team, develop and maintain excellent processes and records.  Must have ability to operate standard office machines and personal computer.  Basic math and reading skills.  Must be proficient in use Microsoft outlook, word and excel. Must be able to work in fast paced, demanding situations without adverse reaction and be able to interact in a positive and friendly manner with customers and staff.
