DEPARTMENT FUNCTION/JOB OVERVIEW
Provides assistance and support for the Human Resources compensation function, processes and activities. Designs and prepares compensation related reports and statistics. Processes job description revisions and maintenance of internal sites ensuring accurate, up-to-date information. Performs data entry and develops complex spreadsheets for use in financial analysis and reporting. Develops various other reports and documents as needed or requested. Serves as a compensation reporting expert. Assists with data management of hardcopy and electronic compensation survey submission and results. A high level of organizational, flexibility, ability to handle technical equipment as well as handle demanding situations and multiple priorities and assignments required. Critical thinking and excellent communications skills required. Works independently as well as collaboratively continually assessing opportunities for process improvement and implements changes to increase efficiency, effectiveness and customer service. Flexibility in work schedule required to adjust according to activity level including occasional evenings or weekends for special projects or events. Must be knowledgeable of compensation regulations, laws and procedures in order to assist in ensuring regulatory compliance across campuses. Must demonstrate excellent customer services skills in all communications and behaviors to ensure a professional yet approachable, customer-friendly environment. Must maintain a high level of integrity and confidentiality of all records, employee information, data, and facility practices and procedures at all times within the Human Resources department and external to the Human Resources. Assesses and assists in customer needs or makes appropriate referrals with the System or facility. Responsible for maintaining the reporting and record maintenance on compensation updates to the Employee Handbook and other system and department policies and procedures as assigned. Assists with receiving all incoming telephone calls, greets customers in person and provides excellent customer service for all internal and external customers. Coordinates meetings, equipment, and room reservations as requested. Must be competent in knowing, understanding, and articulating Human Resources System policies and procedures. Attendance is an essential function of this position. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for delivery of quality service including internal/external customer satisfaction by upholding Madonna's mission and core values.
Assists with various compensation related reports and statistics.
Extracts and formats electronic salary survey data from external reports for electronic import to Madonnaâ??s salary survey reporting software.
Uses critical thinking to review and identify appropriate market data from hardcopy salary survey results and completes data entry of results for processing in salary survey reporting software.
Performs data entry and develops complex and integrated spreadsheets.
Processes job description revisions and maintenance of internal sites ensuring accurate, up-to-date information.
Assist with updating the Job and Compensation Tables in the API/HRIS system timely and accurately as requested.
Responsible for coordinating storage and/or disposal of compensation documents as required.
Responsible for composing, editing, producing and/or distributing Excel spreadsheets, power point presentations, forms and/or reports to ensure accurate, timely communication as necessary.
Provides assistance with benchmarking jobs by review and assessment of Madonnaâ??s jobs/job descriptions to survey jobs/job descriptions for reporting.
Composes, edits and maintains documented compensation procedures to provide consistent performance of tasks and training of co-workers.
Assists in creating, revising, implementing compensation policies and procedures as requested. Coordinates with Human Resources Coordinators on copying and posting applicable policies to Madonnaâ??s Employee Handbook to ensure employees are notified of all changes and updates timely.
May assists with ordering and maintaining Human Resources supplies as well as assists in maintaining adequate supply of facility and departmental compensation forms to ensure efficiency.
Assists with composing and editing market adjustment documents.
Assists with serving as liaison and communications for Human Resources with the public, employees and volunteers. Assists with office coverage for Human Resources when needed.
Assists supervisor and with special projects as assigned.
Communicates and works with others in order to ensure information is clearly and regularly conveyed and disseminated in a manner which facilitates positive internal and external customer service.
Communicates and collaborates with Payroll Specialists on development of compensation documents and implementation of procedures.
Arranges and schedules various appointments and meetings to ensure efficient timely operations.
Mentors and assists in the orientation and training of new Human Resources staff to provide support and knowledge of system policies and procedures.
Interacts and communicates with customers, co-workers, residents/patients, volunteers, and other individuals in a respectful, courteous, friendly and compassionate manner, in accordance with Madonna's Mission and values.
Follows instruction from supervisor to perform other functions as assigned in order to achieve Madonna and department goals.
Adheres to confidentiality expectations within Human Resources and within the facility at all times.
Creates, designs, generates and distributes compensation reports, internal and external mail, and various forms to ensure accurate processing.
Operates personal computer, multi software programs and printers to access, compile and produce data for correspondence and reports.
Operates telephone to access multi incoming calls as well as placing outgoing calls to provide prompt, courteous service.
Assists with answering telephone and greeting and assisting customers in person as needed to ensure excellent customer service in the department.
Operates copier, printer and fax equipment to reproduce or send information efficiently.
Maintains a clean, organized and safe environment according to facility and department expectations. Handles and operates all necessary equipment and performs required duties according to established safety standards to maintain compliance with regulations and to prevent injury to self or others.
QUALIFICATIONS High school equivalency with one year post-high school education in Accounting, Finance, Business or Human Resources required. Two years relevant Human Resources, Finance or Accounting work experience required, preferably in health care. Experience with Human Resources Information Systems and/or Payroll/Time and Attendance systems preferred. Additional relevant work experience would be considered in lieu of formal post-high school education. Must be proficient with Excel spreadsheets with demonstrated experience developing complex and integrated spreadsheets for use in financial analysis and reporting.
Must have in-depth knowledge and extensive working experience with computer software, including Microsoft Office Products, i.e., Word, Excel, Access, etc.
Proven demonstrated analytical skills in work experience related to compensation and other Human Resources related work required. Knowledge of local, state and federal Wage and Hour and EEO Regulations and/or PHR or equivalent certification preferred. Working knowledge in operating other office machines and 10-key calculator required. Must have excellent grammar, spelling, and organizational skills with abilities to problem solve. Excellent written and verbal communication skills and attention to detail required. Must demonstrate integrity and adherence to facility and departmental confidentiality at all times within the Human Resources department and external to the department. Must be able to work in fast paced demanding situations with great flexibility to handle multiple priorities without adverse reaction and be able to interact in a positive and friendly manner with staff and public, either in person or by telephone. Flexibility in work schedule required to adjust according to activity level including occasional evenings or weekends for special projects or events. Background checks are conducted.
