Job Title: Inpatient Therapy Scheduler

Status: Non-exempt


Responsible for coordinating therapy schedules of all rehabilitative inpatients receiving therapy. Monitors all parts of the process and makes changes to process as necessary. Develops and maintains documentation for all parts of the process. Responsible for training and orienting back up staff in all parts of the process. Job demands capability to deal with details, frequent schedule changes, interruptions, and potential conflicts. Work will be performed in an ethical and legal manner following organizational policies, processes, protocols and procedures. Responsible for quality service delivery and internal/external customer relations for Madonna as a whole, including upholding the mission and values for the department and facility.


A. Develops and maintains system for scheduling patients being seen in inpatient therapies to ensure accurate, coordinated therapy schedule.
B. Produces accurate daily schedules, weekend schedules and ADL schedules for therapy staff, nursing staff and patients.
C. Evaluates efficiency and effectiveness of scheduling system/process and make changes as indicated.
D. Documents all steps in process and all changes made to process.
E. Incorporates changes in patient characteristics into the scheduling system.
F. Coordinates evaluations and ongoing scheduling of therapy, rest period and special appointments for patients.
G. Maintains schedule of all patients being seen reflecting their individual therapy schedule and assigned therapist.
H. Initiates and updates as necessary individual patient's schedule for reference by therapies, nursing, patients and visitors.
I. Initiates and updates as necessary individual therapists' schedule to promote timeliness of service delivery, providing schedule to individual departments.
J. Evaluates applicability of special scheduling protocols depending upon patients' diagnoses and initiate/adjust scheduling process accordingly.

A. Negotiates therapy times with staff to ensure patients are seen in a timely manner and at the indicated frequency.
B. Oversees compliance with the scheduling process on the part of staff and assist staff in understanding/accepting need for compliance.
C. Confers with department supervisors as needed to resolve issues of noncompliance.
D. Informs others of changes in patients' schedule in order to promote customer satisfaction and avoid confusion.
E. Informs therapies of changes in patient activity (admission, discharges, special appointments) in order that necessary schedule changes can be initiated.
F. Trains back-up scheduling staff in job duties associated with this position to insure adequate performance of job functions.
G. Speaks with visitors or telephone callers to department by taking messages for staff, giving directions, and/or locating appropriate personnel to increase customer satisfaction.
H. Follows instruction from supervisor to perform other functions as assigned in order to achieve the goals within the division.
I. Must perceive customer relations as a primary focus and continually strive to satisfy the needs of every customer in all areas of the work force.

A. Independently operates personal computer to enter and retrieve data re: patients' and therapists' schedules.
B. Independently utilizes scheduling software and other software as needed to record and adjust schedules and conduct necessary communication with other departments.
C. Operates telephone to receive and transfer calls and perform other telephone functions.
D. Operates photocopy machine in order to copy, retain or distribute essential information.
E. Handles and operates all necessary equipment and perform required duties according to established safety standards to maintain compliance with regulations and prevent injury.
F. Assists with ensuring cleanliness of equipment and environment.


This position is performed 100% indoors. Work activities occur in offices or meeting rooms. There are no environmental hazards.

Physical demands: Frequent sitting and standing, reaching, handling and fingering. Occasional walking, stooping, lifting/carrying less than ten pounds. Frequently handling paper, pens, operating computer, telephone, photocopy machine. Frequently talking and hearing ordinary tones for conversational speech in person and on telephone. Frequently seeing handwritten and printed material, doing simple grasping.

Mental requirements: Continually being alert to color division, reading written or hearing verbal information and to shifting priorities.

Stress factors: Frequent repetition and continuous pressure.

QUALIFICATIONS (Education/training and/or Experience)

High school equivalency with minimum of six-months post-high school education plus two years experience in a related area required. Additional relevant work experience would be considered in lieu of post-high school education. Must have ability and experience in operating standard office machines. Good knowledge of basic math, good organizational skills, and problem solving skills are required. Experience and working knowledge of personal computers required. Knowledge of medical terminology desired. Must be able to work in fast paced, demanding situations without adverse reaction and be able to interact in a positive manner with staff and customers.
