Operations Associate – Job Description

The Operations Associate is responsible for the coordination and execution of activities and business functions that surround the placement process within the FocusOne Operations team.

Job Responsibilities:

  • Quality Assurance
    • Ensure FocusOne policies and procedures are followed
    • Obtain Position Requirements from Clients and create and/or update position templates in FocusOne Connect software
    • Update Client job descriptions, Position Requirements and Placement Documents in FocusOne Connect to ensure client information is up-to-date and accurate at all times
    • Review Supplemental Employee submittals to determine if experience is a match for client job order position requirements; decline Supplemental Employees who do not match minimum requirements
    • Assist with coordination of candidate interviews; working towards goal of achieving completed interview within 24 hours
    • Assist Compliance Coordinator in collection of required Placement Documents prior to Supplemental Employee start date; provide oversight and issue resolution as needed to ensure start date is met
    • Review number of Affiliate Provider contracts by Client and secure additional Affiliate Providers as needed to ensure Client requests are filled timely Ensure Affiliate Provider contracts and Certificates of Insurance are obtained prior to commencement of business activity
    • Enter Client job requests into FocusOne Connect software, ensuring all bill rates and terms are followed according to Client Agreement
  • Management of Staff
    • Assist with orientation and training of new FocusOne team members
    • Suggest content for Operations Training Manual as it pertains to the Operations Associate role
    • Provide trouble-shooting, resolution, and follow-up as needed for problems and incidents that arise with Supplemental Employees, Clients, and Affiliate Providers
    • Actively and constructively keep superiors informed of observations and assessments made of team member’s performance, including training, developmental, and motivational needs
  • Communications
    • Ensure that incoming and outgoing communications for dedicated Clients are handled efficiently, accurately, and professionally
    • Ensure that confidentiality of Supplemental Employee information is maintained in accordance with division policy and corporate protocols
    • Communicate available opportunities to Affiliate Providers and create marketing campaigns to generate candidate flow for open requests
  • Division Document Flow & Filing Systems
    • Ensure all documentation is handled in an efficient manner, minimizing duplication and redundancy whenever possible
    • Ensure systems for organizing the flow of documentation are managed effectively, and that documents intended for distribution, mailing, and/or filing are handled as expediently as possible
    • Recommend process improvements for document content, flow, and organizational storage to Operations Manager as deemed prudent
    • Research and provide information to Operations Consultant and Operations Manager as requested
    • Assist with submittal of Review Board checklist and corresponding paperwork
    • Review Employee Assignment Evaluations received, distribute copy to Affiliate Provider and follow Review Board protocols for evaluations of concern
    • Update REMI database ensuring all Client contacts are accurate and up to date at all times
  • Reports
    • Assist with compilation and distribution of routine division reports as requested by Operations Consultant, Operations Manager or Division Manager, including reports requested by other divisions within the company
    • Research and provide information to Client as requested by Client and/or FocusOne leadership
  • Account Management
    • Serve as the secondary point of contact for Clients and Affiliate Providers
    • Obtain feedback from Client on Supplemental Employee performance on a routine basis and document results in FocusOne Connect
    • Primary coverage for Operations Consultant when unavailable or out of the office
    • Deliver exceptional customer service that meets or exceeds customer service goals
    • Monitor turn-around time for open positions, creating email marketing campaigns to be sent to Affiliate Providers; contact Affiliate Providers via phone to promote open positions as needed
    • Document notes associated with each Supplemental Employee assignment accurately in the FocusOne Connect software; notify Operations Consultant of issues that arise
    • Provide operational support to Business Development Executives as needed to secure new business opportunities for FocusOne

  • Systems & Tools
    • Demonstrate proficiency in utilizing computer systems/applications (i.e., MS Office, Lotus Notes, REMI, FocusOne Connect, Internet, etc.) to satisfactorily perform the job functions associated with the position
  • Perform other duties as assigned by the Manager or as the situation dictates.

Job Qualifications:

  • Minimum of one (1) year of staffing industry or related experience is required
  • The ability to:
    • Ability to utilize a touch-tone telephone, designated computer programs and peripheral computer equipment, keyboard for numeric entry and retrieval of data, and use of miscellaneous office equipment (fax, printer, copier)
    • Satisfactory knowledge of the English language in order to process and manage written correspondence, filing tasks & related responsibilities
    • Skill in organizing tasks and managing time; ability to multi-task with a sense of urgency and efficiency
    • Ability to calculate figures and amounts such as premiums, percentages and volume and to apply concepts of basic accounting
    • Ability to solve practical problems and deal with variable situations; ability to interpret a variety of instructions furnished in a written, oral or schedule form
    • Ability to communicate effectively and professionally; articulate FocusOne services effectively, explain value and identify new business opportunities within Client as they arise
    • Ability to function as a cohesive team member of the Division, engaging in open communication with all team members and proactively working in support of the Division’s performance goals
    • Knowledge and compliance with all company policies and procedures - including adherence to all local, State, Federal laws concerning employment; specifically relating to I-9's, EEOC, Civil Rights, ADA and Sexual Harassment


  • Previous vendor management experience is preferred
  • Bachelor’s degree preferred but an equivalent combination of education and related work experience will be considered
