This position is responsible for providing quality and timely support of both commercial and consumer loans by processing disclosures, preparing documentation, and completing quality control reviews for Branch Delivery,  Business & Private Bankers. In addition, this position facilitates the closing and booking activities, while providing proactive and timely communication with clients, vendors, and bankers.


Process Documentation Requests (45%)

  • Prepares documentation (loan/credit card), accurately and timely, in accordance with all policies, procedures and checklists with minimal supervision.   This includes preparing and sending early disclosures.
  • Completes quality control reviews on documents prepared by others (a/k/a Secondary Review).
  • Provides timely and accurate completion of flood determinations, flood coverage forms, flood notifications, and all other flood related requirements, in accordance with all policies, procedures and regulatory requirements.
  • Performs any other DocPrep functions required including credit reports, UCC searches, UCC collateral filings, title work, verification of good standings, CIP, verification of paid R/E taxes, etc. as applicable.
  • Maintains current status (CRM workflow) and tracking items & exceptions in Baker Hill’s NextGen program.  Populate the Routine Tracking Log, as applicable.


Prepare Loan Packages for Closing & Booking (30%)

  • Processes ongoing maintenance of trackers in NextGen.
  • Prepares loan files for boarding including making sure the checklists have been completed accurately, loan request form fields have been completed accurately, all coding fields are correct, loan balances, along with any funding instructions and disbursement sheets are clearly documented for Loan Services.   


Work to Prevent Violations & Exceptions; Resolve Issues Timely (25%)

  • Maintains a good understanding of all banking compliance regulations. Demonstrates an ability to independently and accurately complete various checklists and procedures specific to loans, including: Flood, HMDA, CRA, CIP & TRID.  
  • Proactively communicates with Bankers, title companies, Loan Services and others, to prevent or resolve any documentation related exceptions.
  • Works with Bankers & Relationship Coordinators to resolve any documentation issues, policy violations, or compliance exceptions.
  • Processes all consumer and commercial non-originations, within 5 business days of decisioning.
  • Provides backup support to other DocPrep team members, as necessary.
  • Assists with documenting procedures and preparing loan reports and audits.


Performs other duties as required and assigned.



  • Working knowledge and solid understanding of credit administration including documentation, perfection, collateral filings, title work, UCCs, flood requirements & exception resolution.
  • Solid knowledge of compliance regulations, including but not limited to:  FLOOD, HMDA, CRA, CIP, TRID.
  • Ability to handle heavy workloads, including multiple tasks and interruptions at the same time, and to be able to independently prioritize those tasks to meet deadlines.
  • Ability to provide a high level of customer service to both internal and external customers, through effective & positive communication.
  • Ability to prepare loan documentation and complete pre-closing quality reviews, with a high degree of accuracy, to ensure exceptions and violations are avoided.
  • Ability to complete all loan administration tasks with strong attention to detail, to protect the bank against risk.
  • Ability to effectively communicate verbally and in writing.
  • Proficient using LaserPro, to be able to prepare pre-closing disclosures and all related loan documentation for all loan types, including real estate secured, consumer, construction, & commercial loans.
  • Proficient skills with navigating in Premier and Director, to research and resolve internal and external customer inquiries, process monetary transactions, and ability to calculate finance charges.
  • Working knowledge of Microsoft Word, Excel & Outlook.
  • Ability to complete compliance training by required deadline.
  • Ability to maintain predictable and reliable attendance.



  • Minimum of a high school diploma or equivalent required.
  • Associate’s or 2+ years or more of college work or equivalent job experience in finance, accounting or business preferred.



  • Minimum 3-5 years of consumer, commercial and/or credit card loan documentation experience required.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
