GENERAL PURPOSE
Under the general supervision of the CASA (Court-Appointed Special Advocates) Director or designee, performs a variety of semi-skilled administrative work supporting departmental operations requiring some responsibility, complexity, and independent judgment.

SELECTION GUIDELINES
Formal application, rating of education and experience, interview, reference checks, verification of education, successful completion of a national criminal background check, successful completion of a pre-employment drug screen, and other job related tests or background checks as may be required.

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS
Provide all administrative support to the department such as accurately create and distribute letters, documents, correspondence, training manuals, forms and reports as directed.
Establish and maintain effective working relationships with supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, clients, and the general public.
Answer calls in a professional and courteous manner; collect and deliver messages; route callers to appropriate party; and escalate matters to Director as necessary.
Receive the public and answer questions; respond to inquiries from clients, attorneys, judges, other agencies, citizens, and others and refer, when necessary, to appropriate persons.
Prepare all documentation for referred cases as assigned.
Ensure information (e.g., letters, records, reports, etc.) is entered or scanned in system in a timely and accurate manner.
Forward relevant information to other agencies.
Schedule meetings and appointments for staff as directed.
Establish, organize, and maintain forms, documents, files, and filing systems (both computer-based and physical documents), and archive as required.
Process approved invoices, purchase orders, and vouchers for payment.
Update and maintain records (e.g. financial) and statistics relevant to departmental operations, metrics, grants, and financial records on all grants
Organize, monitor, maintain, and procure department documents, materials, and supplies within budgetary guidelines.
Receive, stamp, and distribute incoming mail, and process outgoing mail.
Maintain all CASA file records on a confidential basis.
Attend various organizations and functions.
Work cooperatively with other Nebraska CASA programs in a loose network; work with National CASA Association for the program's needs.
Report to assigned worksite with regular, predictable, and consistent attendance.
Peripheral Duties
Attend seminars and workshops related to CASA Program.
Serve as a member of various committees as assigned.
Perform other duties as directed and assigned.

MINIMUM QUALIFICATIONS:

MINIMUM REQUIRED QUALIFICATIONS
Education and Experience
High school graduate or GED equivalent required. Post-secondary education in paralegal studies or social services preferred.
Two (2) years' work experience in a bona fide paid secretarial or administrative position required. Legal Secretary experience preferred.
Must be able to type 40 net words per minute (nwpm).
Special Requirements
Must have and maintain throughout employment a valid Driver's License, as well as meet eligibility requirements of "acceptable driver standards" as defined by the County.
Necessary Knowledge, Skills and Abilities
Working knowledge of the legal system, Department of Social Services and community resources, or child or other advocacy work
Working knowledge of computers and software/data processing programs including, but not limited to Microsoft Office Suite
Working knowledge of and ability to use specialized accounting/bookkeeping software
Knowledge of legal terminology
Knowledge of accounting and recordkeeping procedures
Well-developed communication skills
Ability to work independently and make sound decisions
Ability to accurately record and maintain records
Ability to manage and maintain confidential and sensitive information
Ability to prioritize and complete projects within deadlines
Ability to perform tasks with attention to detail and a high degree of accuracy
Ability to work under pressure and/or frequent interruptions
Ability to navigate stressful situations while maintaining composure
Ability to understand and follow exacting verbal and written instructions
Ability to communicate effectively, in English, both verbally and in writing
Ability to operate equipment including, but not limited to, multi-line phone, computer, typewriter; copy machine, printer, scanner, 10-key calculator, and fax machine

While performing the duties of this job, the employee is frequently required to sit/remain stationary, talk, and hear (i.e. communicate / exchange information), and operate/manipulate equipment (e.g. use hands to finger, handle, or feel objects, tools, or controls). The employee is occasionally required to walk/move about, stand (i.e. remain upright), stoop, bend, climb, kneel (i.e. position self), and reach.
The employee must occasionally lift and/or move up to 25 pounds.
Required sensory abilities include vision and hearing. Visual abilities, correctable to normal ranges, include close and color vision as well as the ability to adjust focus. Communication abilities include the ability to talk (e.g. verbal exchange / exchange information) and hear ( i.e. exchange information accurately) within normal ranges. Incumbent must be able to exert sustained concentration for several hours at a time.
Work is performed indoors in an office setting. Work may be fast-paced when dealing with multiple clients, priorities, and time constraints. The noise level is typically quiet to moderate.
