Purpose of Position: This position is responsible for assisting the development team by coordinating daily gift processing, database management, accurate record keeping, timely acknowledgements, communication, and other projects as needed.  This position must ensure integrity of the donor database is maintained.

This position reports to:  Development Director                             

Hours: Full-time; 40 hours/week Monday-Friday 8:00am-4:30pm

Pay: $21.00/hour

 

 

Essential Duties and Responsibilities

  • Timely processing, preparation and recording of all gifts into donor database and hard copy files
  • Processes online giving and resolves constituents between platforms/software
  • Processes tribute gifts and coordinates logistics of program components
  • Coordinates and processes donor recognition requests, including honor, memorial gifts and anonymous gifts
  • Completes and submits matching gift documentation
  • Coordinates donor stewardship through timely processing of acknowledgement letters (within 72 hours of receipt of gift)
  • Ensures donors do not receive the same acknowledgement letter twice; track versions sent in donor database and adjust as necessary
  • Analyzes needs for new, more personalized acknowledgement letters and makes minor adjustments as necessary, or initiates drafting of new letters
  • Collects and disburses mail for the development department
  • Answers and responds to phone calls and emails from donors
  • Assists Special Events Director with event database management
  • Assists the Data Management Associate with queries, list creation, and reports as needed

Position Qualifications: Education, Experience, Certification, and Knowledge/Skills/Abilities

 

Required

  • High school diploma required; Bachelor’s degree preferred, or equivalent work experience
  • Database knowledge and experience, specifically donor databases and/or Raiser’s Edge
  • Excellent oral and written communications skills and a high-level of professionalism
  • Ability to meet deadlines and work under tight scheduling and competing priorities
  • Ability to accurately type at least 50 words per minute
  • Must be able to maintain confidentiality of NHS donor information
  • Computer literate, including mastery of Microsoft Office suite
  • Outstanding oral, written and interpersonal communication skills
  • Goal-orientated, flexible and professional
  • Self-motivated, and able to work well both independently and cooperatively; proven success working as a member of a team
  • Ability to multi-task and maintain high level of attention to detail
  • Possess strong organizational and time management skills

  • The noise level in the office environment is usually quiet, though barking or whining of animals may be escalated at certain times in certain areas of the building
  • High exposure to animals whose reactions to the shelter environment cannot be predicted
  • Temperatures in the shelter environment are varied, though usually moderate, and dependent on the season
  • Potential exposure to zoonotic diseases and hazardous chemicals
  • Ability to work around animals without severe allergic reactions
  • As work may need to be done outside of the shelter, the employee may encounter environmental issues outside of our control such as fallen tree limbs, rain storms or snow/ice.  When this occurs the employee must report the issues immediately to their direct supervisor who will work to resolution
