Legal Administrative Assistant – Estate Planning

We are seeking a reliable, experienced Legal Administrative Assistant to join our Estate and Business Succession Planning Department. 

This employee provides day-to-day administrative and legal support for attorneys, law clerks and paralegals.  The work requires an ability to critically assess and anticipate attorney needs in serving clients and assist in managing workloads.  Job duties include the following, in addition to others that may be assigned to meet business needs:

  • Create and edit legal documents by transcribing dictation or following written or verbal instructions. 
  • Assist in preparing legal documents, charts, graphs, exhibits and other case documentation.
  • Docket court dates and deadlines.
  • Maintain efficient and organized electronic files.
  • Files documents electronically with the courts.
  • Reviews and releases attorney time into Elite 3E Time Capture for invoicing.
  • Assist in coordinating client meetings & heavy calendar management.  

Requirements:

A minimum of three years of relevant legal assistant/secretary work in a legal setting is required.  Estate Planning experience is highly desirable.  Experience with post death administration is a plus.

Other requirements include:

  • Skill in the use of various computer software programs (Microsoft Office and document management software).
  • Knowledge of legal terminology, legal forms, documents, practices and procedures.
  • Must be detailed oriented, highly organized & a critical thinker.
  • Ability to communicate effectively, both orally and in writing, in a professional, constructive and courteous manner.
  • Ability to work independently and prioritize assigned projects to meet deadlines.
  • Ability to create documents using correct English spelling, grammar and punctuation; review legal documents to identify inaccuracies or omissions; pay attention to detail in all work and see work through to its logical conclusion.
  • Ability to confidently and effectively interact with clients, attorneys and other employees in a team environment, maintaining confidentiality and using discretion and tact.
