SUMMARY 

Processes all indexing of incoming mail, insurance claim checks, and disbursement checks into the electronic document server to include assigning documents to appropriate departments for processing and answering telephone inquiries for all branch offices, clients, and operations personnel.

 

 

ESSENTIAL DUTIES

  • Enters checks received into the SharePoint database, comparing data entered with source documents, verifying screen format to detect errors, and proof reads new entries in database for accuracy, completeness and adherence to department procedures.  
  • Scans copies of checks and saves in appropriate system drive according to account ensuring completeness and adherence to department procedures. 
  • Gathers all necessary documents/correspondence and combines with disbursement voucher. 
  • Receives and scans incoming mail. 
  • Separates checks for mailing department and for manual mail-out. 
  • Performs quality control checks of out -going packages to ensure shipping labels are correct. 
  • Prepares and emails report of refunds/returns and voids to account holders on a daily basis. 

 

MINIMUM REQUIREMENTS

  • Must have a High School diploma or GED equivalent.
  • Must have at least one (1) year in document and check processing, packaging/shipping, or related experience, preferably in the insurance, mortgage, or banking industries.
  • Must have strong research capabilities and follow-up skills with attention to detail.
  • Must have strong communication (written and verbal) and organizational skills.
  • Must have working knowledge of general office equipment to include accurate keyboard skills in utilizing computer applications such as MS Word, Excel, Internet, SharePoint, or other database systems.
  • Must have familiarity with most general office machines.
  • Must be able to follow directions and apply established procedures.
  • Must be able to sit and/or stand for long periods of time while entering data, processing mail, or performing other duties.
  • Must be able to lift 10 – 20 lbs. of incoming/outgoing mail, files, reports, or other documents/manuals.
  • Must be able to push, pull, stoop, or kneel while processing incoming and out-going mail.
