Job Summary

Provides timekeeping and business tracking according to schedules, administrative clerical support, receptionist duties of the business facility.

Essential Duties and Responsibilities

Abide by Company Safety Program and Policies, while performing duties safely.

Time Accounting Coordinator

Processes weekly timekeeping activities for the UMIX, Reimers Kaufman & Ready Mixed Concrete divisions.

Notifies Managers of missing timesheets from staff members.

Review and process cash sales daily for RK, also review and route and receivable payment checks to the proper divisions for application at the NEBCO accounting office.

Process dump truck haul charges and end of the month reports.

Assists the Manager by updating the monthly reports.

Assists in research for missing orders and invoices.

Administrative Support & Receptionist

Ensures receptionist desk coverage Monday through Friday, 8:00 am to 5:00 pm.

Answers incoming calls on the main reception multi-line phone system and responds to the inquiry directly or refers to the appropriate staff. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

Answers questions about organization and NEBCO. Provides callers with address, directions, and any other appropriate information.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. May direct customers, visitors to correct area and/or personnel.

Monitors the Out'n About! employee tracking system and updates as appropriate.

Assists in creating memos, correspondence, reports, and other documents for the business when necessary.

Performs other office support duties daily, such as sorting & distributing mail, filing invoices and load tickets, photocopying, and collating. Maintain, advise & help fill out Human Resource information and maintain files.

May assist in event planning as needed. Other duties as assigned.

Education and/or Experience

  • High School education or equivalent GED. One year certificate from college or technical school; or one-year related work experience and/or training; or equivalent combination of education and experience.
  • Must have an aptitude for numbers and accuracy.
  • Ability to identify discrepancies in timekeeping data, transfer detailed information accurately, and pace workload to meet deadlines.
  • Must be able to courteously handle questions and inquiries with professionalism.
  • 10 key calculator skills.
  • Must understand the confining requirements of the receptionist duties.
  • Must be flexible in work assignments.
  • Spanish speaking skills are helpful but not necessary.
  • Previous customer service skills required.
  • Must have a math aptitude and be detail oriented.

Working Environment

While performing the duties of this job, the employee is predominately confined to a designated desk/receptionist area, breaks are normally scheduled, occasionally required to use hands and fingers to handle, or feel; reach with hands and arms and talk or hear.

Specific vision abilities required by this job include close vision, color vision and ability to adjust focus.

Showroom/business environment. Dress code is professional business/casual.

The noise level in the work environment is usually moderate.

This is a non-smoking office environment.
