Dispatcher / Overland Ready Mixed, York, NE

Employment offer is contingent on successfully passing a pre-employment

Drug screen, and background test, including DMV.

 

Summary

Provides administrative, accounting and back up support services

 to the business facility by performing the following duties:.

 

Essential Duties and Responsibilities include the following.

 

Assists staff by providing customer support services by answering incoming telephone calls, determining purpose of calls, and forwarding calls to appropriate personnel or department.

 

Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.  Assists in projects that require additional assistance.

 

Assures payments are applied accurately to customer accounts.  Provide customer service support for accounts that need adjustment.  Assure accuracy and timely response to accounts requiring assistance.

 

Performs other clerical duties as needed, such as typing, filing, photocopying, and collating.

 

Answers incoming phone calls from customers.  Takes orders for Sand & Gravel, including  amount, delivery, address, time of delivery or anything relevant to the order.

 

Assure all Sand & Gravel and Ready Mixed tickets are priced according to guidelines for accuracy and completeness.   Tickets are then sent to the Stromsburg office daily.

 

Assist with collection efforts on any past due accounts.

 

Assure radio calls are answered promptly according to procedures.

 

Initiate purchase orders for supplies, as necessary, and verify and receive purchase orders are received.

 

Assure office equipment is maintained and working.

 

Other duties may be assigned.

 

Education and/or Experience:                         

High school education and one year of general office with some accounting experience; or equivalent combination of education and experience.  Must have excellent customer service skills.

 

 

 

 

Language Skills:                                                                                                                                 

Ability to read and comprehend instructions, correspondence, and memos.  Ability to write basic correspondence.  Ability to effectively present information in one-on-one and small group situations to employees of the organization.

 

Mathematical Skills:                                                                                                                            

Ability to calculate figures and amounts from time records, discounts, interest, proportions and percentages.  Ability to apply concepts of basic accounting required.

 

Reasoning Ability:                                                                                                                               

Ability to apply common sense understanding to carry out detailed written or oral instructions.  Ability to deal with problems involving a several variables in standardized situations.

 

Computer Skills:                                                                                                                                 

To perform this job successfully, preference is given to an individual with working knowledge of Office software -- Word  and Excel is preferred.  The business uses Lawson accounting software packages and must be able to be trained on the software.  Will also use Command Alcon and JWS software to input orders.

 

Certificates, Licenses, Registrations:  Valid NE Driver’s License.

 

Other Skills and Abilities:                                                                                                                   

Must be able to multi task according to the needs of the operation.  Must operate with a high degree of accuracy, due to the nature of the job.  Must have excellent numerical skills with a high degree of attention to detail.  Must have accurate and good typing and 10 key adder skills.  This is considered a confidential position due to the nature of the work involved—must be honest and trustworthy.  Must have good customer service skills.

Must be neat in appearance.  Must be reliable and timely to work due to the nature of the duties of the position.                                                                                                                                                                                     

Physical Demands:

While performing the duties of this Job, the employee is regularly required to sit. The employee is frequently required to use hands and fingers to handle, or feel. The employee is required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Ability to bend, stoop to complete file retrieval or update.  Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus.

 

Work Environment:  

The noise level in the work environment is usually quiet.  Office/business environment mostly.  This is a small office so attendance and reliability is very important to assure coverage and office support for the business.  May provide administrative support services to the administrative staff.  Dress code casual.  The noise level in the work environment is usually moderate.  This is a non-smoking office environment.   Works 40 hours per week.  Must be flexible in working hours which would be according to business needs.

 

Summary

Coordinates activities of workers engaged in manufacturing concrete products and delivering Overland Ready Mixed

by performing the following duties.

Essential Duties and Responsibilities include the following.

Abide by Company Safety Program and Policies, while performing duties safely.

Answers incoming phone calls from customers.  Takes orders for Overland Ready Mixed, including mix design, amount, delivery, address, time of delivery or anything relevant to the order.

Follows all DOT FMCSA and NEBCO rules, in regard to the drivers they dispatch.

Enters information into the Command Alkon dispatch system.  Assures accuracy of data input to the system.

Confers with plant production and yard personnel to establish delivery schedules according to factors such as truck capacities, distances to delivery site, and unloading time.

Prepares invoices, delivery tickets, and related shipping documents and assigns drivers for scheduled deliveries.

Posts transactions to customers' delivery ticket and issues customers statements to drivers.

Maintains radio contact with drivers to expedite deliveries.

Other duties may be assigned.

Education and/or Experience:                                                   

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.  Previous dispatch experience is helpful and preferred.

Language Skills:                                               

Ability to read and comprehend instructions, short correspondence, and memos.  Ability to write correspondence as needed.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills:                                                      

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent.

Reasoning Ability:                                             

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.  Needs to be able to deal with constant changes in the workplace.

Computer Skills:                                               

To perform this job successfully, an individual should have knowledge of Cisco recording phone calls/orders from customers Contact Management systems; Weather Forecasting Internet ability; Command Alkon Dispatch software Order processing systems; Office Spreadsheet and Word Processing software.  Must have demonstrated computer literacy to perform the aspects of the position.

Certificates, Licenses, Registrations:

A previous commercial driver’s license is helpful but not necessary.

Other Skills and Abilities:                                             

Good working knowledge of the layout of the City and surrounding areas.  Must be able to produce high quality, accurate work while coordinating a heavy workload department.  Must be skilled in solving problems with good workable solutions.  Ability to work in a confined space and is limited in ability to leave the job site.  Must be flexible regarding work schedule.

Other Qualifications:                                                     

Must be able to maintain composure and manage high stress aspects of the job.  Emotional stability, self motivated and a willingness to take the initiative.  Must be able to maintain business-like attitude when dealing with employees, drivers, customers and other personnel.  Ability to multi--task is very important.

The work environment is very fast paced and at times can be very stressful when events outside of employee's control occur.  Requires attention to detail and an ability to anticipate potential exposures to the fleet.  Must maintain calm demeanor in dealing with others.  Extensive communication skills required--phone, radio, computer.  The noise level in the work environment is usually moderate.  This is a non-smoking campus.
