Job Description


Provides assistance in job set up, invoicing, job related accounting and processing, revising and distributing of contracts for all projects. Ensures all subcontractors have completed necessary paperwork.  Also provides assistance in sending purchase orders for subcontractors and ensures return of all necessary paperwork by performing the following duties:

Essential Duties and Responsibilities include the following:

 Abide by Company Safety Program and Policies, while performing duties safely.

   Contract Administration:

Track all receipt and execution dates of customer contracts.

When necessary, order certificates of insurance required for jobs.

Order performance and supply bonds when required for jobs.

Confirm through the Estimating Department that contract-referenced bid documents correspond to those used to bid.

Confirm through Sales Department that the scope and price of contracts match proposal and/or sales write-up.

Review contract language for objectionable terms.

On occasion, as typical contracts change, communicate with corporate attorney for feedback on contract terms.

Request “Owners ability to pay” information, and request a review of contract-referenced documents (i.e., prime contract).

Confirm through the Estimating Department, price and scope of change orders.

Execute purchase orders and subcontract agreements for erection, trucking, grouting, etc.

Coordinate receipt of certificates of insurance for outside vendors and subcontractors.

Assistant Account Coordinator:

Be a backup for job set-up in Lawson

Assist in the processing of invoices for Concrete Industries and Apollo.

Process and / or respond to all customer / job related accounting issues, including, but not limited to returns, credits, tax and pricing adjustments and reconciling accounts.

Assure files are organized and maintained to support fast and accurate customer service support.

Prepare weekly and monthly reports as assigned.

Be a resource to accounting for contract billings.

Other duties:

Provide backup support to the business office staff through phone support, reports and word processing assignments by the Manager.

Other duties may be assigned.

Education and/or Experience:                                              

High School education or equivalent GED.  Two year certificate from college or technical school; or one to two years related experience and/or training in Accounting; or equivalent combination of education and experience. Previous experience with NEBCO Accounting Systems and Lawson systems is preferred.

Language Skills:                                                       

Ability to read and comprehend office procedures, instructions, correspondence, and memos.  Ability to write routine business correspondence.  Ability to effectively present sensitive information in one-on-one and small group situations to customers, clients, and other employees of the organization.  Ability to read and comprehend delivery tickets and invoices, load and sales tickets.

Mathematical Skills:                                                              

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent.  Must understand numbers and math to complete accurate invoices based on sales tickets.               

Reasoning Ability:                                                     

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems.  Must have good investigative and follow up skills.

Computer Skills:                                                       

Ability to use Lawson software--to perform this job successfully, the individual must be capable of learning Lawson software.  An individual should have demonstrated working knowledge of Excel Spreadsheet software and Word Processing software.

Other Skills and Abilities:                                                     

10 key calculator skills.  Must be flexible in work assignments.  Must have excellent collaborative skills and assist the team to establish a safe and secure work environment.  Must have good detail ability and follow up skills. Must be able to read, comprehend and apply contract material to assure proper adherence to billing and collection programs.

Other Qualifications:                                                             

The person must maintain a good attendance record due to the support role of this position.  Due to the nature of the job, must have good human relations skills.  Must have good troubleshooting skills and a high degree of attention to detail.  Must possess strong oral and written communication skills.  Must have a strong acumen for customer service.  Good interpersonal skills. This position requires initiative and follow-through on all tasks.  This is a confidential employee. Must be able to work independently with minimal supervision.

   Physical Demands:

While performing the duties of this job, the employee is predominately confined to a designated desk/receptionist area, breaks are normally scheduled, regularly required to use hands and fingers to handle, or feel; reach with hands and arms and talk or hear. The employee may occasionally be required to lift and/or move up 25 pounds to waist height.  Ability to bend, stoop to complete file retrieval or update.    Specific vision abilities required by this job include close vision, color vision and ability to adjust focus. 

Work Environment:

Office/business environment mostly.  This is a small office so attendance and reliability is very important to assure coverage and office support for the business.  May provide administrative support services to the administrative staff.  Dress code casual.  The noise level in the work environment is usually moderate.  This is a non-smoking campus.

Condition of Employment:

Candidate is required to meet the above qualifications, task frequency and PPE requirements.  Approval of pre-employment reference & background checks, and post offer drug/alcohol testing with back screens (if required) are required as conditions of employment.  This also applies to all transfers, fit-for-duty and return to work programs.
