Job Description

This position will act as a virtual assistant for a select group of Securities America advisors.  Responsibilities include collaborating with advisors to prepare required documents, obtaining advisor and client signatures, submitting business into Securities America systems, sponsor systems and advisors’ customer relationship management systems. Follow-up to issues surrounding account setup, maintenance and asset movement in PRIME, Remedy, NBS, FBSI, Streetscape, ICP and NetX360 systems. Additional responsibilities include researching and resolving client service problems, monitoring and resolving action needed items, uploading documents into the SA vault and updating advisor CRM records.  Limited duties include scheduling client appointments and special projects.

Job Duties/Tasks

  • Perform administrative and support functions for the representative including: preparing paperwork, obtaining signatures, entering business into processing systems, maintaining digital files, preparing correspondence, running reports, uploading  documentation as needed 
  • Look for and document opportunities to mitigate risk and improve processes
  • Organize, coordinate, and maintain all client paperwork
  • Assist advisor to complete new accounts, asset transfers, life insurance applications and other forms
  • Research problems and implement best solutions utilizing all resources available
  • Complete, process and track new account/insurance paperwork 
  • Handle routine matters for client accounts to include processing name and address changes, account applications and bank authorizations; answering client questions
  • Research and resolve client service problems or errors as needed   
  • Maintain client management system
  • Assist with other duties and projects as assigned   

Position Requirements

  • 1-3 years Securities America Experience
  • Previous customer service experience preferred
  • 2 + years of administrative experience in an office environment preferred
  • Bachelor’s degree in business related field or equivalent work experience preferred 
  • Broad knowledge of operational processes such as new accounts, check receives, check disbursements, IRA distribution, journal entries, account maintenance, compensation, periodic investment plans, systematic withdrawal plans, or change of dealers in least one Securities America department (Service, Operations, Compensation) 
  • Ability to be at work on a regular basis and predictable basis
  • Ability to communicate with co-workers, customers, and various business contacts in a courteous and professional manner
  • Ability to investigate and research situations
  • Ability to maintain confidentiality
  • Ability to make rule-based and analytical decisions
  • Ability to organize, prioritize, and handle multiple tasks
  • Ability to pay close attention to detail and meet deadlines
  • Ability to take complete and accurate notes
  • Knowledge of general securities and insurance industry terminology and practices preferred
  • Skill in operating SAI systems including; NBS, PRIME, Remedy, FBSI, Star Station, StreetScape, NetX360 and FileNet
  • Knowledge of client management databases preferred
  • Skill in operating various office equipment including personal computer, fax machine, copier, scanner, etc.
  • Skill in verbal and written communication
