The Senior Executive Assistant is responsible for providing high-level administrative support to multiple leaders. This person will manage and ensure the effectiveness of the companys administrative tasks and issues such as scheduling, planning, and facilitating office meetings and other administrative actions.

They are responsible for the Berwyn, PA office administration responsibilities including coordination with Orion and building facilities management, mailroom, front desk, and management of employees that help fulfill certain of these responsibilities.

Essential Functions of the Job

  • Maintains executive(s) calendars, resolves scheduling conflicts, prioritizes calendar events, keeps all contacts up to date, schedule/organize meetings for team (weekly, monthly, quarterly), assists executive(s) with travel arrangements (airfare, train, hotel, rental car), and registers executive(s) for conferences or classes.

  • Administrative support to executive(s) by creating PowerPoint presentations, Excel spreadsheets, print reports, bind presentations, make copies, filing, data entry, distribute mail to department members, assist with any other general administrative needs.

  • Monitor office supplies, ensure the kitchen areas are maintained, and order lunches for meetings and other special orders as needed.

  • Plans/coordinates ongoing team meetings, team building events and offsite meetings.

  • Supports Investment Team with preparation for due diligence meeting visits.

  • Supports Destinations Funds team in planning and coordinating the quarterly or special Destinations Trust Board meetings including booking accommodations for board members and helps in coordination of participants in meetings.

  • Supports Wealth Advisory team in finalizing proposals for delivery to clients, creating moments by helping PMs with handwritten notes to new financial advisors, scheduling of calls for PMs, input of new client information in Salesforce, and provide support for special projects.

  • Manage relationships and expenses for: vending, USPS, UPS, FedEx, office equipment, office supplies, kitchen supplies, shredding bins, and plants. Periodically evaluate expenses and retain new vendors if warranted.

  • Main contact with building facilities management and other companies as necessary to ensure proper standards are met for housekeeping, maintenance, fire alarm, etc.

  • Main contact to work with Orion Facilities Management for support of Berwyn office.

Education Needed to Perform the Job

  • High school diploma/GED; Bachelors degree preferred.

  • Obtain Orion Industry Certification.


Experience Needed to Perform the Job

  • Minimum of 2-4 years of experience as an executive assistant or in a similar role required.

  • Experience with executive-level calendar management and multiple calendar management as well as executive email inboxes.

  • Maintains high level of integrity and discretion in handling confidential information and dealing with professionals both inside and outside of the company.

  • Experience coordinating event logistics preferred.

Salary Range:

$58,980.00 - $86,621.00

The pay listed in this posting indicates the estimated pay at the time of this posting; however, may vary depending on geographic location, job-related knowledge, skills, and experience.
