Subject Matter Expert - Billing

Job Description

The Subject Matter Expert for the Billing Team is responsible for processing billing on new accounts, new money, renewals, and cancellations for a range of clients of Orion Advisor Services, LLC. This position is also responsible for the conversion and operational set up of new clients on the billing portion of the Orion proprietary system.

What does this role do?


  • Prepares accounts for renewal billing process within multiple databases
  • Ensures renewal client's billing period and payment methods are entered correctly and required forms to collect advisory fees
  • Creates and reconciles monthly and quarterly fee calculations for external clients according to SSAE16 requirements
  • Generates advisory fee statements, custodial fee files and final account receivable reports upon approval of initial audits by external clients


  • Responds to customer requests via phone, email, chat in timely and professional manner
  • Troubleshoots incorrect billing setup & system calculations
  • Ensures Account Managers are trained on and understand regular billing issue scenarios
  • Ensures all cases and projects over 7 days are reviewed weekly; updates status and actions steps
  • Provides training and best practice procedures to external clients on the Orion billing system
  • Creates and updates training material as needed
  • Leads face to face billing discussions and training during customer office visits


  • Demonstrates working operational knowledge of Orion’s system and services to clients in order to analyze and understand current processes, workflows and key critical success factors while exhibiting a professional attitude
  • Leads advisors through conversion process by managing expectations and ensuring all advisors billing set-up related to conversion is completed in a timely manner with a high level of quality
  • Creates new fee and payout schedules provided by clients
  • Performs custom imports and scrubs to verify databases are ready for billing
  • Prepares and generates comparison billing
  • Tests comparison billing for accuracy and adherence to customer expectations and specifications
  • Ensures successful 'hand-off' to appropriate internal departments for on-going support following conversion
  • Provides application training to end users


  • Provides assistance in testing billing functionality during scheduled build weeks and weekends, as well as during quarterly and monthly billing cycles
  • Identifies system bug issues and submits projects to programming


What should you already know? 

  • Knowledge of basic math algorithms and accounting concepts
  • Ability to exercise sound professional judgment in analysis of problem
  • Effective written, listening and verbal communication skills including the ability to communicate technical information to nontechnical personnel
  • Ability to represent Orion in client consultations to represent and champion our products and services


Education and Experience that we want:

  • Minimum of High school diploma or equivalent required
  • Bachelor's degree in Business Administration or Accounting preferred
  • Minimum of 2 years of account manager or customer service experience, or experience within OAS or affiliated companies preferred
  • Experience working in financial services or accounting industry preferred
  • Orion Industry Certification must be obtained within 90 days of employment
