Our client is searching for a Paralegal / Legal Assistant who is a critical thinker, strong writer, highly detailed, and able to build strong relationships in a corporate not for profit environment.  Our client offers a wonderful culture and a complete benefit package.

This team member will facilitate contracts through negotiation, the review/approval process, and execution. Lead project management for new grant development, business development, and grant reporting functions. Develops and maintains the electronic database and paper file records for all contracts, grants, and litigation files. Provide administrative and operational support for Central Administration, the Executive team, and other departments, as needed. Maintain confidentiality and model an environment of professionalism.

Key Accountabilities

Project Management

  • Prepare work product which may include but not limited to reports, agreements, or other agency documents related to grants and contracts. Exercise a greater level of independent judgment on more complex or unique assignments
  • Establish grant and contract communications protocols and conducts status updates with team
  • Gather information from multiple individuals to use in the review and submission of grant applications
  • Create timeline/work plan to identify key grant or contract milestones
  • Identify risks and information gaps associated with the grant award and/or project implementation
  • Identify and collaborates with key personnel needed to support project implementation
  • Provide agency project support as needed

Contract and Grant Compliance

  • Route contracts to reviewers, track approvals, and responses
  • Communicate with internal owners, reviewers, and counterparties as needed
  • Facilitate discussions among key stakeholders and business partners to reconcile issues and questions
  • Under the advisement of the Director of Operations-Legal & Support Services, reviewers or internal owners, write and revise contracts and maintains revision history documentation
  • Communicate with appropriate parties to obtain executed documents
  • Monitor contract terms and notify contract owners of upcoming terminations, renewals, or grant application deadlines, as appropriate
  • Maintain records of grants, contracts and other legal agreements, with a particular focus on monitoring continual compliance adherence
  • Project manage all aspects of grant reporting responsibilities and requirements
  • Identify problem spots when it comes to fulfilling compliance standards and help develop recommendations to improve organizational procedures
  • Work with various internal departments and organizational leadership to develop new procedures and staff training plans as needed to implement new compliance processes and procedures and improve operational workflows

Manage contract, grant, and litigation file records

  • Maintain electronic database and paper file records of in progress and executed contracts and grants
  • Establish, develop, maintain and update filing system
  • Retrieve information immediately from files when needed

Provide Administrative and Operational Support

  • Provide operational support, as needed, including, but not limited to, internal process development, general office support, and acting as a liaison with both internal staff and external staff from other organizations, as requested

Professionalism and Confidentiality

  • Ensure that a high level of confidentiality is maintained based on Health Insurance Portability Protection Act (HIPAA) and policy, guidelines and procedures
  • Stay current on laws, regulations or statutes, state and federal
  • Model an environment of professionalism


  • Undergraduate degree preferred or working toward degree
  • Three plus years paralegal or legal assistant in a law firm and/or corporate setting preferred
  • Two plus years grant reporting or writing experience preferred
  • Knowledge of contract terminology preferred
  • Sound understanding of pertinent federal and state laws related to contracts
  • Strong analytical and project management skills
  • Strong verbal, written, and presentation skills
  • Expertise with Microsoft Office products
  • Experience with document management software (e.g. SharePoint, Smartsheet) preferred
  • Desired characteristics: professional, detail-oriented, flexible, ability to work cross-functionally

  • Some occasional in-state travel required
