Basic Purpose:

This position will represent the company in a professional and organizational manner. The Administrative Assistant will serve as the first point of contact with Acieta visitors in a professional manner while performing a variety of administrative duties.

Essential Functions:

  • Answer telephone and give information to callers or route call to appropriate person.   Forward callers to voice mail or take a message when an employee is unavailable
  • Greet visitors, ascertain nature of business, and direct them to the appropriate person
  • Open and route incoming mail to the appropriate employees
  • Place orders for company business cards; lunches for visitors and training; company shirt order/reorder; office supplies; and postage stamps
  • Make travel arrangements for guests as needed; be the “go to” person for all company personnel
  • Create and maintain name plates for cubicles, mailboxes, and in/out board
  • Update and create project plan boards
  • Helping Marketing as needed which may include but is not limited to:
  • Photographs/video for internal run-offs
  • Tradeshow prep
  • Image filing/organizing
  • Assist Human Resources as needed
  • Miscellaneous filing and scanning.
  • Handle special projects as assigned
  • Other duties as assigned

Requirements:

  • HS diploma or equivalent with 2 to 4 years related administrative experience, education and/or training. 
  • Intermediate knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint); intermediate knowledge of MS Access a plus.
  • Adobe Creative Suite knowledge a plus
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
