Performs skilled duties of a broad nature. Assignments may entail a wide knowledge base, decision- making, and problem solving. Ability to work with wide range of guests and customers. Very detail oriented, organized and able to meet deadlines. This position requires one to two evenings per week. This position will be working out of the Logan, IA and Glenwood, IA office.

Work Schedule: Monday through Thursday, 7:45 a.m. to 4:45 p.m., Friday 8:00 a.m. to 2:30 p.m.

Essential Duties and Responsibilities

  • Client File Management, to include filing, uploading files, transfers, and requests for information.
  • Scheduling appointments – checking in clients and assigning to Therapist.
  • Manages client Data in electronic health record (s).
  • Screens all incoming client calls for appropriate type of counseling and family life education services.
  • Refers callers to appropriate Heartland Family Service programs; completing the intake, the registration and/or the pre-authorization process.
  • Accurately takes messages and gives appropriate directions to clients and general public; assists visitors, clients and staff in processing their inquiries, process all fax inquiries.
  • *Performs secretarial and support staff duties and responsibilities which include but are not limited to typing, filing, and support for Non-behavioral health programs.
  • Displays a courteous and caring attitude at all times to the clientele, volunteers, and visitors of the Agency.
  • Cooperates and collaborates with program area staff, volunteers, and other Agency staff.
  • Abides by all specific program and Agency procedures, policies, and requirements.
  • Develops personal and program related skills through participation in internal and external training opportunities including printed material and audio and/or visual media.
  • *Is dependable and punctual regarding scheduling and attendance. Maintains organized reception area and opens and/or closes location.
  • Responsible for Grant data entry. Updating data in electronic heath record. Coordination with external and internal staff.
  • *Create, maintain and share as appropriate a dynamic self-care plan.
  • * Strive to make connections between the agency and the larger community whenever possible in order to contribute to the agency’s ongoing fundraising and friend-raising efforts.
  • * Essential functions of this job are to be performed on company physical work site



    • Associate degree preferred; but not required.
    • Two years’ experience
    • Proficiency in basic office skills and personal computer skills
    • Must be willing to work one or two out of four evenings per week.

      Team Player: Works as a competent member of the team, willingly providing back-up support for co-workers when appropriate and actively supporting group goals.

      Judgment: Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction. Swiftly refers problems/issues to the appropriate person(s) when necessary. Works effectively without constant and direct supervision or guidance.

      Proactive/Resourceful: Demonstrates the ability to foresee problems and prevent them by taking action. Utilizes analytical skills and a broad understanding of the business to effectively interpret and anticipate needs.
