SUMMARY DESCRIPTION OF WORK

Performs skilled duties of a broad nature, which include ability to organize office and supervise smooth operation of facility. Assignments may entail a wide knowledge base, decision making, and problem solving.

Work Schedule: Monday through Wednesday, 8:30 a.m. to 5:00 p.m., Thursday, 9:30 a.m. to 7:00 p.m., and Friday, 8:30 a.m. to 3:00 p.m.

Essential Duties and Responsibilities

  • *Supervises clerical and support staff at assigned office.
  • *Assures completion of all internal and external data collection and reporting required by funding sources, and reports regularly on these areas.
  • Manage required paperwork and electronic submission procedures for behavioral health services.
  • *Oversees the updating and completion of daily staff schedules, and maintains therapist's work schedules.
  • * Assists the Administrative Assistant with coordinating client appointments by scheduling, obtaining insurance or other pay source information and forwarding the proper information to Fiscal Department.
  • Enters monthly statistical data for outcomes.
  • *Ensures that supplies are maintained at adequate levels and office upkeep is monitored.
  • Coordinates with Central Intake regarding client activities and schedules.
  • *Assists the Administrative Assistant with performing reception duties; accurately takes messages and gives appropriate directions to clients and general public; assists all visitors, clients and staff in processing their inquiries.
  • Responds to staff requests relative to facility needs.
  • Provides support to all programs located in this office.
  • Attend and co-facilitate the monthly agency-wide Office Manager's meetings.
  • *Display a courteous and caring attitude at all times to the clientele, volunteers, and visitors of the Agency.
  • Cooperate and collaborate with program area staff, volunteers, and other Agency staff.
  • *Is dependable and punctual regarding scheduling and attendance.
  • Abide by all specific program and Agency procedures, policies, and requirements.
  • Develop personal and program related skills through participation in internal and external training opportunities including printed material and audio and/or visual media.
  • *Creates, maintains and shares a appropriate a dynamic self-care plan.
  • *Strives to make connections between the agency and the larger community whenever possible in order to contribute to the agency's ongoing fundraising and friend-raising efforts.
  • *Essential functions of this job is to be performed on company physical work site.
  • Perform other program related duties as assigned

 MINIMUM QUALIFICATIONS

  • High School Diploma
  • Six years experience
  • Strong computer skills in MS Office.
