Office Support Specialist I/II/III (Pool)

Support programs to enhance service delivery

Provide office support and routine administrative functions for programs

Perform functions for client intake processes and record keeping


Position will be hired at level II or III based on experience.

Key Accountabilities

Program Support

  • Coordinate details of program-specific functions
  • Edit, organize and prepare materials for service delivery


Record Keeping

  • Prepare and maintain client files, to include file audits, as necessary
  • Accurate data entry in program-specific databases
  • Maintain service statists data, score assessments, prepare reports and report program outcomes



  • Complete client intake, admission, and schedule client appointments
  • Collect payments, prepare deposits and submit to billing department
  • Maintain current intake processes and procedures


Office Support

  • Greet visits and clients, handle their inquiries and direct to appropriate persons according to their needs, check-in clients for appointments
  • Receive and route all incoming phone calls
  • Sort and distribute incoming mail



  • High School Diploma/GED
  • 2 years’ experience in an office environment
  • Prior experience in a customer service oriented positon
  • MS office
