Immanuel Pathways in Council Bluffs, IA is seeking a Part-Time Inventory Supply Assistant.

The overall purpose of this position is to assist in the facilitation, processing and coordination of the ordering, storage and distribution of supplies and equipment required for daily operations of the Immanuel Pathways Centers. The primary responsibilities of this position are assisting with the ordering process, receiving, inventory control, storage and distribution of supplies and equipment for all departments at Immanuel Pathways. This position will perform a combination of administrative, clerical and manual supply and equipment management functions. Supports and lives out Immanuel's Mission and CHRIST Promises.


Key Areas

Key Responsibilities and Duties of the Job

Supply & Equipment Coordination

  • Closes and reopens preference cards in the healthcare supply chain and inventory management system(s) daily for assigned Immanuel Pathway Center location.
  • Records participant supplies sent out for assigned center in the supply chain and inventory management system(s). (Note on this as tablets are introduced to the departments, this step will go away)
  • Performs cycle counts for minimum of 10 items daily and records discrepancies in the supply chain and inventory management system(s).
  • Receives deliveries for assigned center:
    • Confirms product and quantity received matches packing slip/purchase order.
    • Shelving products making sure to rotate stock to avoid products expiring.
    • Fills out forms for Transportation to schedule delivery of supplies to participants as needed.
    • Records receipts in the supply chain and inventory management system(s).
    • Reports shortages, missing items, and overages to vendor.
    • Tracks vendor correction of shortages, missing items, and overages to ensure timely resolution.
  • Tracks backorders to ensure receipt and/or resolution.
  • Records expired products in the supply chain and inventory management system(s).
  • Adds/Updates Patient module in the supply chain and inventory management system(s) monthly to capture new participants and inactivate dis-enrolled participants for assigned center and ensuring the activation of appropriate preference cards.
  • Assists with annual Physical Inventory.
  • For central supply, pulls and distributes center supplies as requested and records in the supply chain and inventory management system(s).
  • For central supply, receives and process supply requests daily from TruChart, emails, phone calls, etc.
  • For central supply, assembles participant supplies and brings to Transportation by cut-off deadline.
  • Ensures completion of monthly stock checks for expired products.
  • Packages expired products appropriately for donation.

  • Performs other duties as assigned or requested.



  • High School Diploma/GED is required.
  • Equivalent years of experience may substitute for education requirement.


  • One (1) year of general administrative/secretarial or related experience is required.
  • Previous experience with a supply chain and inventory management system desired.
  • One (1) year of experience working with the frail or elderly population required, or completion of job specific training related to working with the elderly population must be completed within the first six months of hire.
  • Equivalent years of education may substitute for experience requirement.

Other Requirements-

  • Basic Life Support (BLS) current certification.

  • Knowledge of or ability to learn the principles, practices, standards and techniques of Supply Management.
  • Knowledge of common safety hazards and precautions to establish a safe work environment.

  • Skilled in the use of computers including programs specific to the job.
  • Skilled in the use of office machinery such as copiers, fax machines, scanners, calculators.

  • Ability to use a continuous improvement approach in daily business practices.
