Purpose of the Job:

The Clinical Experience Program Coordinator job is funded by a grant provided by the Immanuel Vision Foundation and will adhere to the core objectives and duties as defined in the approved grant application by the Board of Directors. The overall purpose of this job is the coordination of the Clinical Experience Program including documentation of current processes, procedure, and developing the program infrastructure for future growth and sustainability.  This position will develop new partnerships and continue to build on established relationships with health care schools/organizations and Immanuel in order to create a collaborative learning environment for students.  This Supports and lives out Immanuel’s Mission and CHRIST Promises.

Key Responsibilities and Duties of the Job

Program Coordination

  • Maintains the current lists of approved schools/organizations with Clinical Affiliation agreements and ensures required documentation is complete.  Makes list available electronically while maintaining paper files with original documents as needed.
  • Inputs and maintains signed clinical affiliation agreements and exhibits in software system while ensuring required documentation is complete.
  • Establishes and maintains a clinical rotation calendar for schools and students in the Clinical Experience Program which includes various disciplines.
  • Updates required forms used for the Clinical Experience Program affiliation process as needed and maintains most recent documents on network locations.
  • Collaborates with Immanuel Contacts, Executive Directors, Director of Corporate Health Care Services, and the Corporate Compliance Officer with any issues regarding contracts, missing/incomplete/incorrect documents, and questions from schools, as needed.
  • Coordinates with school faculty and Immanuel locations to verify suitable opportunity on potential expansion opportunities.
  • Communicates with school/organization in the absence of the designated Immanuel contact.
  • Informs of updates to documents, for existing partners.
  • Collaborates with VP of Health Care Services, Director of Corporate  Health Care Services, and Corporate Compliance Officer to revise and approve all new and existing contracts, obtains signature of SVP & Chief Operations Officer on new and revised contracts, and emails new executed contract to the Immanuel contact and school/organization.


  • Represents Immanuel in the community with existing and prospective schools, students and organizations to promote clinical partnership opportunities.
  • Works in coordination with the Training & Organizational Development Director.
  • Partners with Health Care and Talent Acquisition to develop collaborative plan to include recruitment strategy and activities.
  • Networks with various healthcare, education and civic organizations to generate leads and interest in Immanuel’s clinical learning opportunities for students.

Data Collection

  • Data collection to evaluate program outcomes, including:
    • Volume of new and established partners, disciplines, students, and faculty in program.
    • Scope of anticipated and actual workflow experiences gained through job shadowing, internship/externship, fellowship, and residency programs at Immanuel.
    • Timeframes outlined and tracked for the completion of designated workflow experiences and the duration of the program.
    • Workflow experiences identified as requiring Clinical Instructor supervision including clinical care, interaction, and documentation.
    • Designated Immanuel contact criteria (workload, length of service, performance, location issues) i.e. Annual survey result data including turnover and satisfaction levels at location.
    • Rates of program completion (request, completion of pre-work, initiation to % completion).
    • Creates evaluation forms to measure program satisfaction of all parties (Immanuel/School/Student), collects evaluation results and reports on data collected.


  • Performs other duties as assigned or requested.



  • Bachelor’s degree in Health Care field, Business, Communication, or related field is preferred. 
  • Current Licensed Practical Nurse (L.P.N.) or Registered Nurse (RN) license in the respective state in which he/she is employed is preferred.
  • Equivalent years of experience may substitute for education requirement.


  • Four (4) years of health care, college/university setting, career center, administrative or related experience is required.
  • Equivalent years of education may substitute for experience requirement.

Other Requirements –

  • Must have a valid driver’s license, proof of insurance and have reliable means of transportation.

KSA- Knowledge Skills and Abilities-

  • Knowledge of health care and/or senior care industries.
  • Knowledge of certification programs and of the higher education system and in the health care field.
  • Familiarity with how internships, externships, job shadowing, and fellowship programs work.

  • s in establishing and maintaining effective working relationships with colleagues, schools, and organizations.
  • Skilled in follow-up and follow through with people and appointments.

    • Skilled at presenting oneself as professional in appearance and manner.

    • Ability to be detail oriented.
    • Ability to organize, multi-task, and prioritize.
  • Ability to work independently with minimum supervision.
  • Ability to take initiative and demonstrate personal traits of high level of motivation.
  • Ability to work in a team environment.
  • Ability to exhibit high standard of ethics, accountability and responsibility.
  • Ability and willingness to learn everything possible about Immanuel, their mission and values, and how those are directly correlated to the job.
