Purpose of the Job:  

The overall purpose of this job is to coordinate the ordering, storage and distribution of supplies and equipment required for daily operation.  The primary responsibilities of this job include collection of supply lists, purchasing, receiving, inventory control, storage and distribution of supplies and equipment for all departments.  Partners with other team members to assist frail seniors to enjoy their highest level of independence while receiving the necessary care and service to meet their changing needs.  Supports and lives out Immanuel’s Mission and CHRIST Promises.

Key Responsibilities and Duties of the Job

Inventory Coordination

 

  • Coordinates the ordering, storage and distribution of supplies and equipment required for daily operation by collecting supply lists and ordering needed supplies. 
  • Primary liaison between vendor account managers and Immanuel Fontenelle Care Community.
  • Considers best price, quality, availability, and reliability when purchasing supplies and equipment.
  • Reviews, approves, and submits all supply and equipment orders including scheduled orders and special equipment requests.
  • Collaborates with office staff to approve and code invoices and track spending.
  • Maintains an organized and secure supply room.
  • Receives and inspects deliveries, comparing items received to items ordered, looking for damaged items, missing products, etc.
  • Coordinates all product returns, exchanges, replacements, etc.
  • Reviews, prepares and coordinates and/or delivers supplies and equipment to all departments and locations.
  • Receives, inspects, sorts, disassembles and cleans durable medical equipment.
  • Conducts routine inventory of supplies and equipment and reconciles against related reports
  • Coordinates recurrences and discontinuations of procurements.
  • Prepares orders and requisitions or other documentation for purchasing or requisitioning supplies of equipment

Resident Care

  • Assists with personal care for residents in assigned area.
  • Seeks direction and reports resident change in condition. Performs clinical procedures within scope of policies, procedures and licensure requirements.
  • Partners with dietary team to assure individualized meals and snacks.
  • Partners with environmental team to assure clean and safe residence.
  • Partners with recreational, pastoral and wellness teams to assure participation in resident selected activities.

Administrative & Compliance

  • Participates in all safety, security and infection control programs.
  • Complies with all internal/external regulations, policies, and procedures. Understanding and practice of quality standards and HIPAA regulations. Supports continuous improvement.
  • Makes entries in the EMR consistent with and limited to the scope of job duties and applicable licensure.
  • Assumes responsibility for personal and professional growth through participation in meetings, training and continuing education programs.
  • Maintains professional affiliations and any required certifications.

Other

  • Performs other duties as assigned or requested.

QUALIFICATIONS

Education-

  • High School Diploma/GED is required.
  • Equivalent years of experience may substitute for education requirement.

Experience-

  • A minimum of one (1) year of materials management or purchasing is required, preferably in a health care environment. 
  • Equivalent years of education may substitute for experience requirement.

Other Requirements –

  • Certification in Basic Life Support and First Aid is preferred or willingness to obtain certification within 60 days of hire date required. 

KSA- Knowledge Skills and Abilities-

  • Knowledge of medical equipment/supplies and basic knowledge of how to use/maintain them.
  • Knowledge of principles, practices, standards and techniques of Supply Management.
  • Knowledge of common safety hazards and precautions to establish a safe work environment.
  • Skilled and proficient in math.
  • Skilled in the use of computers including programs specific to the job.
  • Skilled in the use of office machinery-copiers, fax machines, scanners, calculators.
  • Skilled in identifying problems or issues, thinking of alternatives for solution, and being part of the solution.
  • Skilled in establishing and maintaining effective working relationships with residents/participants, co-workers, family members, and vendors.
