Purpose of the Job:  

The overall purpose of this job is to ensure that the communities’ staffing needs are fulfilled for each shift. The primary responsibilities of this job include scheduling a 24/7 nursing staff within established budget and matrices. This position also provides administrative support to the Director of Nursing and nursing department. Supports and lives out Immanuel’s Mission and CHRIST Promises.

KEY RESPONSIBILITIES

Key Responsibilities and Duties of the Job

Scheduling

  • Manages and creates schedules to ensure staffing in accordance with established standards that includes management of call-ins and replacements, and time-off requests and approvals.
  • Maintains records related to time-off requests, approvals, and denials, tardiness, missed punches, absences, etc., in accordance with established procedures and provides reports to the Director of Nursing (DON).
  • Process employee vacation requests and ensure that substitutes are available to cover shifts.
  • Create and maintain daily staffing reports to verify staff members’ work hours, time off and inconsistencies in work.
  • Report any inconsistencies or open job positions to the DON to ensure vacancies are filled timely. Ensure any staffing changes are in alignment with budgeted staffing plan.
  • Assist DON with verification of payroll accuracy.
  • Consult with nursing departments to ensure their needs are fulfilled, before a staff crises arises

Personnel Record-keeping

  • May assist with interviewing, on-boarding and training new employees
  • Provides assistance in orienting new employees to the community, particularly in understanding and adhering to staffing/scheduling protocols.
  • Conduct competency checks on both new and existing employees to ensure knowledge in compliance and protocols.
  • Identify learning needs of staff and participate in educational opportunities in collaboration with nursing leaders.
  • Inform Director of Nursing and/or Unit Managers of any potential disciplinary issues and resident/family issues (evening/ nights/ weekends).
  • Provide mentoring to staff when needed.

Administrative

  • Identify opportunities for enhancing quality, e.g., facilitating use of telemedicine technology. 
  • Complete necessary documentation, e.g., electronic health records, incident reports, 24 hour reports, census reports, written documentation regarding discipline and performance appraisals, etc., and submit within required time frame.
  • Establishes and maintains files for DON, including contracts, meeting minutes, regulatory data, etc.
  • Maintains records and attendance logs for education, performance evaluations, counseling, discipline, education, etc. for the DON.
  • Answers the telephone in a prompt and courteous manner.  Sets priorities for response and communicates with the appropriate personnel, building positive relationships with nursing staff but maintains staffing protocol and personal boundaries.

Compliance

  • Promote regulatory compliance through demonstrating working knowledge of long term care regulations and participating in efforts towards consistent survey readiness and assisting with completing plan of correction.
  • Promote achievement of organization goals and objectives through knowledge of goals, assisting in collecting data, completing audits, participating in Quality Assurance and Performance Improvement program, etc.
  • Ensure safety of residents, customers and facility through awareness of and conscientious application of policies and procedures and emergency responses.

Other

  • Performs other duties as assigned or requested.

QUALIFICATIONS

Education-

  • High School Diploma/GED is required.
  • Certification in healthcare personnel/scheduling preferred.
  • Equivalent experience may substitute for education requirement.

Experience-

  • Minimum of one (1) year of clerical work experience or related experience in a health care field or setting required.
  • One (1) year of proven computer experience is required.
  • Supervisory experience is a plus.
  • Experience working in a scheduling department, preferably in a health care facility is preferred.
  • Equivalent years of education may substitute for experience requirement.

KSA- Knowledge Skills and Abilities-

  • Knowledge of 24/7 healthcare staffing operation
  • Ability to develop positive relationships with healthcare staff but able to maintain boundaries while enforcing staffing rules and following protocols
  • Demonstrates knowledge of automated data processing systems and their application for communication and data management (i.e. EMR, Microsoft Word, Excel, Outlook, and PowerPoint).
  • General knowledge of business office equipment and processes (computers, cell phones, texting, fax machines, paging systems, etc.).
  • Ability to effectively present information to staff, residents, and all internal/external clients.
  • Excellent telephone and direct customer service to internal and external customers.
  • Ability to interact with a wide variety of employees and to work independently in accomplishing assignments and goals.
  • Excellent Skills in effective and appropriate written/verbal communication.
