POSITION SUMMARY:

The Metadata Coordinator ensures BT Press products are properly uploaded, named, tagged, and organized within BT Press systems and distribution channels. The position manages product reviews, discount codes, and award submissions. Coordinates handling and maintenance of foreign rights agreements. Researches relevant industry-related content and articles, summarizes and shares with department leadership.

ESSENTIAL FUNCTIONS & DUTIES:

  • Assigns, coordinates, monitors, and maintains metadata within BT Press systems, online catalog platform, and distribution channels. Coordinates foreign rights database and fulfillment.
    • Assigns item numbers and ensures consistent naming conventions and taxonomies for BT Press resources and systems.
    • Uploads, tags, and maintains book descriptions and book metadata in BT Press eCommerce site, metadata (Onix) hub, BT Press inventory/order management/CRM system, online catalog platform, and Amazon or other distribution/reseller channels.
    • Converts eBook content to the proper format, uploads content, and manages eBook metadata for Amazon publishing; includes category selection, keyword identification, and eBook description entries.
    • Generates data-related reports.
    • Uploads and manages product metadata and downloadable resource files within BT Press eCommerce platform.
    • Monitors metadata within systems to ensure accuracy. Actively searches for, identifies, and fixes problems such as duplicate, missing, or incorrect metadata.
    • Identifies and updates metadata changes to reflect industry trends.
    • Coordinates foreign translation rights availability and fulfillment. Ensures product feeds are sent to broker, maintains foreign rights local database, coordinates files and books being sent to publisher to fulfill agreement.
    • Researches and follows up with translation rights broker or publishers for royalty reports and receipt of funds, and tracks.
    • Thinks critically about issues, investigates their causes, provides feedback as well as solutions, and communicates these effectively with the team.
  • Coordinates product reviews and submits products for awards.
    • Maintains database of common reviewers and bloggers and partners to send review requests and advanced reader copies (ARC).
    • Monitors and manages responses/handling of questions and product reviews submitted through website.
    • Enters manually-submitted reviews in BT Press eCommerce site, metadata hub, and Amazon.
    • Creates discount codes in eCommerce system and ensures consistency with other systems.
    • Actively researches and identifies award opportunities and maintains awards database.
    • Collaborates with department leadership to identify products for award submission. Completes entries and submits award applications.
    • Monitors submission responses and communicates outcomes with department leadership and authors.
  • Serves as a role model in carrying out the Father Flanagans Boys Home mission.
    • Directs all activities towards the fulfillment of the Boys Town mission
    • Directs all actions to reflect the values and principles of Boys Town
    • Establishes and maintains an environment that encourages teamwork, collaboration, and ethical behavior
    • Maintains regular, reliable and predictable attendance
    • Supports other members of the management team and their work

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of BT Press products and policies.
  • Strong problem-solving skills and ability to demonstrate initiative to accomplish tasks that drive the department forward.
  • Self-motivated and independent, with the ability to manage time and projects, and collaborate effectively with a team.
  • High level of self-sufficiency. Able to own processes and responsibilities from beginning to end, with timeliness and accuracy.
  • Ability to gather, interpret, and document relevant data and complex business processes.

  • High proficiency with technology. Working knowledge of PC software applications with an advanced ability to utilize Windows-based programs and Microsoft Office, including PowerPoint, Excel, and Word. Ability to use SaaS systems such as a CRM, eCommerce Site, financial reporting system, and vendor platforms.
  • Flexibility and ability to deal with change.
  • Ability to promote and encourage a positive team environment and be open to feedback.
  • Basic html experience is helpful but not required.

EDUCATION, EXPERIENCE, AND OTHER REQUIREMENTS:

  • Associates degree plus 1 year of related experience, or minimum of 3 years' related experience required.
  • Experience with existing (or related) systems (BigCommerce, Eloquence OnDemand, Cin7, Amazon, Edelweiss) preferred.
  • Basic html experience preferred.
