General Summary:Responsible to greet and process all families and other
customers in a positive and professional manner exceeding customer service
expectations.
This individual assists the office to see patients efficiently and with
flexibility.
ESSENTIAL POSITION RESPONSIBILITIES AND PERFORMANCE STANDARDS
- Demonstrates customer service that exceeds expectations.
- Greets all patients, families, physicians, employees, visitors, applicants and vendors in the office using positive effective interpersonal communication skills.
- Answers, screens and directs phones calls in a courteous and professional manner.
- Takes accurate messages.
- Communicates issues appropriately and participates in the resolution process in a positive manner.
- Demonstrates sensitivity to the diversity of others.
- Provides clerical and data support.
- Checks patients in/out and collects/verifies demographic information and enters accurately in the computer. May need to electronically verify address.
- Schedules patients using the automated appointment system following office protocols.
- Maintains the physician appointment templates at the direction and approval of the office manager.
- Contacts patients/families with future appointments to confirm appointments and verify demographic and insurance information.
- Verifies patient’s insurance eligibility and benefits using established automated process.
- Pulls patient’s charts as needed.
- Scans documents into the electronic medical record as directed. Appends the document to the appropriate section of the record following organizational protocol.
- Collects co-pays and balances on past due accounts.
- Post payments collected directly into the computer. Completes end-of-day balancing and accurately prepares bank deposit.
- Answers patient/family questions about owed balances and/or refers to Primary Care Physician Billing.
- Completes work queues daily to compile missing demographic and insurance information for billing purposes. Prepares dictation for transcription as needed.
- Types miscellaneous reports and letters as needed.
- Performs opening and closing duties as assigned by the office manager or designee.
- Understands and supports Children’s Physicians mission, vision, values and culture.
- Performs a wide range of tasks, adapts to changes in workload and completes assignments while maintaining exceptional customer service and effective team player.
- Takes the lead in getting the job done and accepts responsibility for actions, results and risks.
- Assists in the orientation and training of new employees as requested.
- Establishes cooperative working relationships within and across other offices to achieve optimum results.
- Takes a well-ordered approach to solving problems and uses sound judgment in making decisions.
- Actively participates in improving the delivery of patient care to prevent errors.
- Maintains calm and effective behavior during stressful times.
- Adheres to Children’s Physicians policies and procedures, rules and regulations and other state and federal regulatory requirements. Examples are: OSHA, CLIA, HIPPA, etc. Participates in compliance programs to prevent illegal and unethical conduct.
- Participates in mandatory in-services and office meetings and continuing education programs as mandated by policies and procedures to keep informed of changes affecting children’s health.
- Understands and supports Children’s Physician’s goals, office policies and procedures, management decisions and Compliance Plan.
- Reports illegal and/or unethical act promptly to the Compliance Officer.
- Conduct responsibilities in accordance with all laws and regulations.
- Maintains patient information as confidential.
- Demonstrates appropriate use of clinical information systems.

POSITION QUALIFICATIONS
EDUCATION
- High School Graduate or Equivalent required
EXPERIENCE
- Minimum six months in a clerical position required
- Medical office or healthcare setting preferred
SKILLS
- Excellent communication and listening skills required
- Excellent customer service skills required
- Excellent organizational skills required
- Basic computer skills and knowledge of Microsoft operating environment required
- Ability to read, write and perform arithmetic calculations required
- Ability to operate basic office equipment: personal computer, automated telephone systems, scanning technology, e-signature, 10 key adding machine, copier, shredder and facsimile required
- Knowledge of billing and insurance programs preferred
- Knowledge of patient appointment scheduling systems in a medical office preferred
OTHERS
- Basic Life Support Certification – must obtain within 6 months of hire date
